How do I do three-way matching in QuickBooks Online?

QuickBooks Online has no automatic three-way match. On Plus or Advanced, raise a purchase order, then when the bill arrives add the open PO to it and compare each line’s quantity and price with the PO and the packing slip by hand. To automate it, use an AP tool that matches PO, receipt and invoice before the bill reaches QuickBooks.

What QuickBooks Online can and cannot do on its own

QuickBooks Online Plus and Advanced can raise purchase orders and copy them onto bills, but Intuit’s help describes no receiving record, no automatic price or quantity check and no tolerances, so the match itself is manual.

Before you start

You need QuickBooks Online Plus or Advanced, purchase orders raised before goods are ordered, someone who signs for deliveries, and a written price tolerance.

  • The right plan. Purchase orders are only in Plus and Advanced.
  • POs first. A PO raised after the invoice arrives proves nothing.
  • A receiving habit. Delivery notes signed and marked with shortages on the day goods arrive, and sent to AP.
  • A tolerance policy. For example, accept rate differences up to 2% or $25 per line, whichever is lower, and no quantity over-billing.

How to do a three-way match in QuickBooks Online, step by step

Set up purchase orders once, then for each bill: add the open PO, check every line against the signed delivery note, and save only what you agree to pay.

  1. 1

    Turn on purchase orders

In QuickBooks Online Plus or Advanced, go to Settings, Account and settings, Expenses. In Purchase orders select Edit, switch on Use purchase orders, then Save and Done.
  2. 2

Show the items table on bills

In the same Expenses tab, edit Bills and expenses and turn on Show Items table on expense and purchase forms, so PO lines carry onto the bill with quantity and rate.
  3. 3

Raise the purchase order before you buy

Select + Create, Purchase order. Choose the vendor and enter each item with its quantity and rate, then Save and send. The PO is created with the status Open.
  4. 4

    Keep the receiving record

QuickBooks Online has no separate receiving step, so have whoever takes delivery sign the packing slip or delivery note, mark any shortages, and send it to AP.
  5. 5

Create the bill from the PO

Select + Create, Bill and choose the vendor in Payee. The vendor’s open POs appear; select Add on the right one and its lines fill Item details. Attach the vendor invoice and the signed delivery note.
  6. 6

    Compare each line by hand

For each line, check that the quantity billed is no more than the quantity on the signed delivery note and that the rate matches the PO within your tolerance. Change the bill line to what was received, or hold the bill.
  7. 7

    Resolve the differences

Send price differences to the buyer (agreed change or vendor credit) and quantity differences to the receiver or vendor (late delivery or corrected invoice). Save the bill only for what you agree to pay.
  8. 8

    Review open purchase orders

Check the Purchase orders list for POs still Open or Overdue. QuickBooks closes a PO once all its quantities have been added to bills, so a PO that closed early is a sign a bill was entered for goods not received.

Worked example: a bill that should not be saved as entered

PO 1043 orders 40 bags of cement at $12.50 and 10 bundles of rebar at $85.00, $1,350.00 in total. The delivery note shows only 8 bundles of rebar, and the invoice bills all 10 at $88.00.

PO 1043: purchase order, delivery note and vendor invoice
LinePOReceivedInvoicedResult
Cement, bags40 @ $12.50 = $500.004040 @ $12.50 = $500.00Matches
Rebar, bundles10 @ $85.00 = $850.00810 @ $88.00 = $880.00Price 3.5% over PO; 2 bundles billed but not received
Total$1,350.00$1,380.00Hold
Illustrative numbers. At a 2% price tolerance the rebar rate fails, and any quantity billed above quantity received fails.

If you add PO 1043 to the bill and save it as invoiced, QuickBooks Online records $1,380.00 and closes the PO, because all quantities have been added, even though two bundles never arrived. Instead, change the rebar line to 8 bundles at the PO rate of $85.00 ($680.00), which brings the bill to $1,180.00, and ask the vendor for a corrected invoice or a credit for the $200.00 difference: $176.00 for the two missing bundles at $88.00 and $24.00 for the $3.00 overcharge on the eight received. The PO stays open for the two outstanding bundles.

Common mistakes when matching in QuickBooks Online

Most errors come from adding the whole PO to the bill without checking the delivery note, which overpays and closes the PO early.

  • Adding the full PO by default. The bill then reflects what was ordered, not what arrived.
  • Overwriting the rate without a reason. Changing the bill rate to match the invoice silently accepts a price increase; record who agreed it.
  • No attachment. Without the delivery note on the bill, an auditor cannot see that a receipt was checked.
  • Raising POs after the invoice. The match passes but the control is gone.
  • Ignoring Overdue POs. An Overdue PO often means goods arrived and no one sent the delivery note to AP, or the order never came.

How to automate three-way matching for QuickBooks Online

An AP tool can import your QuickBooks purchase orders, match each invoice line to the PO and the delivery note within tolerances, and write only the approved bill back to QuickBooks, linked to its PO.

  1. 1

    Connect QuickBooks Online

In Aequo AP, connect QuickBooks Online from the Integrations page. Vendors, the chart of accounts and purchase orders are imported for matching.
  2. 2

    Set tolerances

In Settings, Global Tolerances, set price, quantity and tax tolerances, and override them for individual vendors where needed.
  3. 3

    Upload delivery notes

Upload each delivery note with the document type Delivery Note (DN), so it becomes the receiving record for the match.
  4. 4

    Capture invoices

Forward invoices to your Aequo inbox or upload them. Each is matched line by line to the QuickBooks PO and the delivery note.
  5. 5

    Review only the exceptions

Clean matches clear; variances go to the exception queue with the reason, such as a price variance on one line or a quantity not received.
  6. 6

    Write the bill back

The approved invoice becomes a QuickBooks bill linked to its PO, and a fully invoiced PO is closed in QuickBooks. You pay the bill in QuickBooks; paying vendors from Aequo is coming soon.

Frequently asked questions

Does QuickBooks Online do three-way matching?

Not automatically. Intuit’s help describes linking an open purchase order to a bill, expense or check, which copies the PO lines onto the bill, but it does not describe a receiving record or an automatic comparison of quantities and prices. You compare the bill with the PO and the delivery note yourself, or use an AP tool that does.

Which QuickBooks Online plans have purchase orders?

Intuit says purchase orders are only available in QuickBooks Online Plus and QuickBooks Online Advanced. On Simple Start and Essentials there is no PO to match against.

Can one purchase order be billed in parts in QuickBooks Online?

Yes. When you add a PO to a bill you can reduce the quantity or amount on each line to what you received, and several bills, expenses or checks can link to the same PO. QuickBooks closes the PO automatically once all quantities have been added.

How do I record received goods in QuickBooks Online?

Intuit’s purchase-order help does not describe a separate receiving step: after the vendor ships, you record the purchase as a bill or expense from the PO. Keep the signed packing slip or delivery note as the receiving record and attach it to the bill.

What is the difference between two-way and three-way matching in QuickBooks?

Adding the PO to the bill and checking the rate is a two-way match: invoice against PO. Three-way matching also checks the quantity billed against what was actually received, which in QuickBooks Online means checking the delivery note by hand.

Automate matching, approvals and exception handling

Aequo AP captures invoices, matches them to purchase orders and receipts, routes approvals and flags duplicates and exceptions, then syncs with QuickBooks Online, Xero, FreshBooks or Zoho Books.
