Construction AP operations
The operating library for contractor payables.
Construction AP is its own discipline: every invoice is a job-cost entry, approval means field verification, and payments carry waiver and retention obligations. This is where we publish how the whole function should run — guides, controls, benchmarks, and calculators, maintained as the product evolves.

Invoice capture and work queue
Uploaded invoices are extracted for operator review and routed through a single construction AP work queue.
Job-cost coding
Invoices are coded to job, phase, cost code, and cost type before approval, with suggestions from vendor and project history.
Commitments, subcontracts, and PO matching
Invoices are matched against purchase orders, subcontracts, and change orders so billing is checked against what was committed.
Approval workflows
Invoices route to project and finance approvers before anything is paid or posted.
Lien-waiver payment controls
Conditional and unconditional waivers are tracked per vendor and job, and payments are blocked until required waivers are on file.
Retainage tracking
Retention is calculated when invoices are approved and tracked to release per vendor and job.
Pay applications
Pay applications are tracked against the schedule of values for each job.
Subcontractor portal and compliance
Subcontractors upload lien waivers, insurance certificates, and W-9s and check payment and retention status through a self-service portal.
Prevailing-wage reporting
Certified payroll records are kept per job, with WH-347 report generation for public work.
WIP reporting
Work-in-progress reports compare cost and billing by job.
QuickBooks Online sync
Vendors, bills, and purchase orders import from QuickBooks Online, and approved bills are written back.
Six pillars
Everything hangs off six operating questions.
How invoices flow, how they get coded, how subs get paid safely, how QuickBooks fits, how the controls hold, and how you know it is working. Each pillar links the deep guide, the product workflow, and the tool that puts numbers on it.
