How do I automate invoice processing in QuickBooks Online?

Send vendor invoices to one inbox, have software read each into a draft bill, code it to your accounts and projects, match it to any purchase order and route it for approval, then post the bill to QuickBooks Online and pay it there. QuickBooks’ bills inbox automates capture; approvals need Bill Pay Elite, and PO matching an AP add-on.

This guide covers vendor invoices (bills). It explains what QuickBooks Online automates on its own, the steps to automate the rest, a worked example and the mistakes that create duplicate bills. For the full list of what syncs, see the QuickBooks Online integration.

What QuickBooks Online automates on its own

QuickBooks Online captures bills on every plan and adds bill approvals with Bill Pay Elite; Intuit does not describe matching bills to purchase orders and receipts, or scoring likely duplicates before approval.

If you rarely use purchase orders and one person approves everything, the bills inbox may be all the automation you need. Teams that raise POs, need approvals on Simple Start, Essentials or Plus, or keep paying the same invoice twice are the ones that outgrow it.

Before you start

Have admin access to QuickBooks Online, a clean vendor list and chart of accounts, a written approval policy, and purchase orders for the spend you want matched.

  • Access. A QuickBooks Online admin to approve the connection in the Intuit window.
  • Clean lists. One record per vendor and an expense account list people can actually code to.
  • An approval policy. Who approves what, by amount and department. Our approval matrix template is a starting point.
  • Purchase orders, if you match. POs are only available on QuickBooks Online Plus and Advanced.

How to automate invoice processing in QuickBooks Online, step by step

Clean your lists, give invoices one way in, connect an AP tool, set coding, matching and approval rules, test with a small batch, and keep paying in QuickBooks.

  1. 1

Map what “processing” means for you

List each step a vendor invoice goes through today: receipt, data entry, coding, PO check, approval, posting the bill and payment. Automate the slowest step first.
  2. 2

Clean the vendor list and chart of accounts in QuickBooks

Merge duplicate vendors and retire unused expense accounts in QuickBooks Online, because every automated step codes against these lists.
  3. 3

    Give invoices one way in

Send vendors a single address for invoices: QuickBooks’ bills inbox if you only need capture, or your AP tool’s forwarding inbox if you also need matching and approval rules.
  4. 4

Connect the AP tool to QuickBooks Online

In Aequo AP, connect QuickBooks Online from the Integrations page and choose how far back to import. Vendors, the chart of accounts, purchase orders, bills and payments come across.
  5. 5

Set coding defaults, tolerances and approval rules

Give regular vendors a default GL account, set price and quantity tolerances for PO matching, and write approval rules by amount, department or vendor.
  6. 6

    Run a pilot batch

Process one or two weeks of invoices, approve them, and check the resulting bills in QuickBooks Online (vendor, account, class, amount and linked PO) before widening the rollout.
  7. 7

Pay in QuickBooks and let status sync back

Pay approved bills in QuickBooks Online as you do today. When a bill is paid there, the invoice is marked paid in the AP tool.

Worked example: one invoice from inbox to QuickBooks bill

A $2,140 supplier invoice is captured, coded, matched to its QuickBooks purchase order, approved by the budget owner and posted as one bill linked to the PO, with no retyping.

Example: Harbor Electrical Supply, invoice 55120

What it is worth: Ardent Partners’ State of ePayables 2025 puts the cost of processing an invoice at $2.65 for best-in-class teams and $12.42 for everyone else. For a team handling 300 invoices a month, that gap is about $35,172 a year. Work out your own number with the cost per invoice calculator.

Common mistakes

The costly mistakes are two systems posting the same bill, automating on top of a messy vendor list, and skipping the pilot batch.

  • Two tools writing bills. If you move from another AP add-on, finish its open approvals and turn off its bill sync first, or the same invoice reaches QuickBooks twice.
  • Forwarding to two inboxes. Invoices sent to both the QuickBooks bills inbox and an AP tool become two bills.
  • Duplicate vendors. Coding defaults and duplicate checks work per vendor, so a supplier with two records slips through both.
  • Approval by email. Approvals outside the system leave no audit trail and no reminder when one stalls.
  • No pilot. A mapping error (wrong account or class) is cheap to fix on ten bills and slow to fix on five hundred.

How Aequo AP automates it

Aequo AP captures vendor invoices, codes them against your QuickBooks chart of accounts, matches them to QuickBooks purchase orders, routes approvals and writes each approved invoice back as one bill.

The same workflow runs on Xero, FreshBooks and Zoho Books. Paying vendors from Aequo is coming soon; today you pay in QuickBooks and the payment syncs back. See automated invoice processing and three-way matching in QuickBooks Online.

Frequently asked questions

Can QuickBooks Online enter bills automatically from emailed invoices?

Yes. Intuit says every QuickBooks Online plan has a bills inbox: you email or upload vendor invoices and AI pre-fills bills with line items, amounts and due dates for you to review.

Does QuickBooks Online have bill approval workflows?

Bill approvals are part of Bill Pay Elite, which Intuit says is included with QuickBooks Online Advanced from August 1, 2026. On other plans there is no built-in bill approval routing, so teams use an AP add-on.

Can QuickBooks Online match bills to purchase orders automatically?

No. On Plus and Advanced you can add an open purchase order to a bill, but Intuit’s help does not describe an automatic price or quantity check against the PO or a receipt. AP tools do that before the bill is posted.

How do I automate customer invoices in QuickBooks Online instead?

That is accounts receivable, a different job: QuickBooks Online’s own invoicing features, such as recurring invoices and reminders, cover it. This guide is about vendor invoices, the bills you pay.

Automate matching, approvals and exception handling

Aequo AP captures invoices, matches them to purchase orders and receipts, routes approvals and flags duplicates and exceptions, then syncs with QuickBooks Online, Xero, FreshBooks or Zoho Books.
