The vendor invoice management process, step by step
Eight steps take a supplier invoice from arrival to an approved, posted bill: receive, capture, validate, match, code, approve, resolve exceptions, and post for payment.
- 1
Receive
Invoices arrive in one place: a shared AP mailbox, a supplier portal or EDI, not individual inboxes. Paper is scanned on arrival. - 2
Capture
Header and line data (vendor, invoice number, dates, PO number, lines, tax, total) is read from the document, by a person or by OCR and AI extraction. - 3
Validate
The vendor is checked against the vendor master, the invoice against earlier invoices for duplicates, and the totals and tax for arithmetic errors. - 4
Match
PO invoices are matched to the purchase order (two-way) and the goods receipt (three-way) within agreed price and quantity tolerances. - 5
Code
Non-PO invoices are coded to general ledger accounts, departments or projects. - 6
Approve
Each invoice routes to the right approver by amount, department or vendor; matched PO invoices often skip a second approval. - 7
Resolve exceptions
Mismatches, missing receipts and disputed prices go to a queue with an owner and a reason, not an email thread. - 8
Post and pay
The approved invoice is posted to the ledger as a bill and paid on its due date.
The control at each step
Each step exists to stop a specific error: paying a fake vendor, paying twice, paying for goods never received, or paying without authority.
| Step | Risk it controls | Typical control |
|---|---|---|
| Receive | Invoices lost or paid late | One AP inbox; date-stamp on arrival |
| Validate | Fake or changed vendors; duplicates | Vendor master check; duplicate check on vendor, number and amount |
| Match | Overbilling; billing for goods not received | Two- or three-way match within tolerances |
| Approve | Spending without authority | Approval matrix; segregation of duties |
| Resolve exceptions | Variances waved through | Named owner, reason and deadline for each exception |
| Post and pay | Wrong period; changed bank details | Cut-off rules; bank-change verification before payment |

Vendor invoice management vs accounts payable vs procure-to-pay
Procure-to-pay is the widest: from requisition and purchase order to payment. Accounts payable is the finance part of it. Vendor invoice management is the invoice part of accounts payable.
| Term | Starts at | Ends at |
|---|---|---|
| Procure-to-pay (P2P) | Purchase requisition | Payment and reconciliation |
| Accounts payable | Vendor setup and invoice receipt | Payment, reconciliation and reporting |
| Vendor invoice management | Invoice receipt | Approved bill posted to the ledger |
What vendor invoice management means in SAP
In SAP projects, “VIM” is usually shorthand for an add-on that runs this process inside SAP itself: invoices are captured, exceptions and approvals become SAP workflows, and approved invoices post straight to SAP.
The process is the same as above. What changes is where it runs and who maintains it: SAP-embedded tools are typically configured by an SAP team or partner, while standalone AP tools sit beside the ERP and sync approved bills to it. If you run SAP Business One, Aequo AP’s connector is in development and not yet available.
How to compare vendor invoice management software
Compare tools on matching depth, what they write back to your ERP, how they price users and invoices, and whether they also pay vendors.
- ERP fit. Check the connector is live for your system and what it writes back: a posted bill, a draft, or a file to import.
- Matching. Line-level two- and three-way matching with tolerances, not just a PO number check.
- Exceptions. A queue with owners and reasons, not a flag on the invoice.
- Approvals. Routing by amount, department and vendor, with delegation and reminders.
- Pricing. Per-user prices grow with every approver; per-invoice fees grow with volume.
- Payments. Some tools pay vendors; others leave payment to your ERP or bank.

Frequently asked questions
What is the difference between vendor invoice management and accounts payable?
Accounts payable is the whole function: vendor setup, invoices, payments, reconciliations and reporting. Vendor invoice management is the invoice part of it, from receipt to an approved, posted bill. Payment runs and vendor reconciliations sit outside it.
What does VIM mean in SAP?
In SAP projects, VIM usually refers to an add-on that runs vendor invoice management inside SAP: capturing invoices, routing exceptions and approvals as workflows, and posting to SAP. The process steps are the same as on this page; the difference is that the work happens inside the ERP.
What is vendor invoice management software?
Software that automates the steps on this page: it captures invoices from email or upload, extracts the data, checks for duplicates, matches invoices to purchase orders and receipts, routes approvals and exceptions, and syncs approved bills to the accounting system.
How do you measure vendor invoice management?
Common measures are cost per invoice, invoice cycle time (receipt to approval), first-pass match rate, exception rate, duplicate payments caught and the share of invoices paid on time.
Do small businesses need a vendor invoice management system?
Not always. With a handful of invoices a month and one approver, the bill features in QuickBooks Online, Xero or similar are usually enough. A VIM tool pays off when invoice volume, purchase orders or the number of approvers make manual checking slow or error-prone.
Automate matching, approvals and exception handling
Aequo AP captures invoices, matches them to purchase orders and receipts, routes approvals and flags duplicates and exceptions, then syncs with QuickBooks Online, Xero, FreshBooks, Zoho Books or Business Central.
