What syncs between Aequo AP and Business Central?
Reference data and purchase orders come in from Business Central every hour; approved invoices go back as draft purchase invoices, plus any vendor Business Central does not have yet.
| Data | Direction | What happens |
|---|---|---|
| Vendors | Business Central to Aequo | Imported every hour (name, email, tax registration number) so invoices land on vendor records that already exist. |
| G/L accounts | Business Central to Aequo | Unblocked posting accounts are imported every hour so coding uses your account numbers. Heading and total accounts are skipped. |
| Purchase orders and lines | Business Central to Aequo | Imported every hour with their lines (quantity, direct unit cost, amount, tax). Changed orders are read incrementally and every order is re-read at least once a day. |
| Purchase invoices | Business Central to Aequo | Read to confirm that drafts Aequo created exist, and to find an invoice already entered for the same vendor and vendor invoice number before creating another. |
| Approved invoices | Aequo to Business Central | Created as draft purchase invoices with G/L account lines, the vendor, vendor invoice number, invoice date, due date and, for foreign-currency invoices, the currency. Aequo never posts them. |
| New vendors | Aequo to Business Central | If an approved invoice’s supplier does not match an existing Business Central vendor, Aequo creates the vendor (name, email, tax registration number) before the draft. |
| Posted purchase receipts | Not imported | API v2.0 purchase receipts do not carry the purchase order number, so receipts are recorded in Aequo from delivery notes or entered there. |
| Payments | Not synced | You pay vendors in Business Central. Vendor payments in Aequo are coming soon. |
A scheduled sync runs every hour, in this order: vendors, G/L accounts, then purchase orders. You can also run each one from Manage on the Business Central card in Aequo at any time. Draft purchase invoice lines use the G/L account type; item lines and dimensions are not set.
How does matching work with Business Central purchase orders and receipts?
Invoices are matched to the Business Central purchase orders Aequo imports; receipts for 3-way matching are recorded in Aequo, because posted purchase receipts are not imported.
- Purchase orders come in with their lines. Each order keeps its Business Central number, vendor, dates and currency, and each line its quantity, direct unit cost, amount and tax. Changed orders are read every hour, and every order at least once a day.
- Invoices are matched line by line. When a captured invoice quotes a purchase order number, Aequo pairs its lines with the order’s lines and checks price and quantity against your tolerances, globally or per supplier. With partial invoicing turned on, an invoice that bills part of an order is treated as a partial invoice rather than an exception.
- Receipts come from Aequo. Business Central’s API v2.0 purchase receipts do not carry the purchase order number, so Aequo does not import posted purchase receipts. For 3-way matching, upload delivery notes or record receipts in Aequo against the order’s lines.
- Exceptions go to a queue. Variances outside tolerance open an exception in Aequo’s exception queue instead of sitting in email. Once resolved and approved, the invoice is created in Business Central as a draft.
What does Aequo create in Business Central?
Each approved invoice becomes one draft purchase invoice with G/L account lines. Aequo never posts it, and it checks for an existing invoice before creating one.
- The draft carries the vendor, the vendor invoice number, invoice date, due date and, for foreign-currency invoices, the currency code. Each coded line becomes a G/L account line with its description and amount.
- Before creating it, Aequo looks in Business Central for a purchase invoice with the same vendor and vendor invoice number, looking back a year from the invoice date. If one exists, Aequo links to it instead of creating a second.
- If Business Central rejects any line, Aequo deletes the partial draft so nothing half-built is left behind, and shows the reason under Manage so you can fix the coding and retry.
- Duplicate, archived and failed documents in Aequo are never written back, and each invoice is written back at most once.
How do you set up Aequo AP with Business Central?
An administrator registers an app in Microsoft Entra, adds it in Business Central, and enters the details in Aequo. Most of the work is in Microsoft’s admin centers.
- In Microsoft Entra, register an app, create a client secret, add the Dynamics 365 Business Central application permission API.ReadWrite.All and grant admin consent.
- In Business Central, open the Microsoft Entra Applications page, add the app’s client ID, set it to Enabled and assign permission sets.
- In Aequo, go to Settings > Integrations > Accounting, choose Microsoft Dynamics 365 Business Central and enter the tenant ID, environment name, company ID, client ID, client secret and local currency.
- Select Test and connect, then run Sync vendors, Sync chart of accounts and Sync purchase orders from Manage.
- Approve a small batch of invoices and review the draft purchase invoices in Business Central before posting them.
The Business Central setup guide has every click, the values to copy and troubleshooting.
What can the app access, and how do you revoke it?
You own the app registration and choose its Business Central permission sets. Removing it from Business Central, deleting its secret or deleting the app cuts Aequo off.
- Microsoft permission. The app uses the Dynamics 365 Business Central application permission
API.ReadWrite.All, which needs admin consent in your Microsoft Entra tenant. Aequo does not needAutomation.ReadWrite.All. - Business Central permission sets. What the app can read and change inside a company is set by the permission sets you assign on the Microsoft Entra Applications page. Aequo reads vendors, G/L accounts, purchase orders and purchase invoices, and creates vendors and draft purchase invoices. Microsoft does not allow the SUPER permission set for applications.
- Credentials. The tenant ID, client ID and client secret are stored encrypted in Aequo and sent only to Microsoft’s sign-in host (login.microsoftonline.com) and the Business Central API host (api.businesscentral.dynamics.com). The connection is fixed to one environment and one company.
- Revoking access. Select Disconnect under Manage in Aequo to stop syncing and writeback. To revoke access in Microsoft, set the app’s State to Disabled on the Microsoft Entra Applications page, delete its client secret, or delete the app registration in Microsoft Entra.

Frequently asked questions
How does Aequo AP connect to Business Central?
Through Microsoft’s Business Central API (v2.0), signed in as an app registration in your Microsoft Entra tenant using the client credentials flow. You enter the tenant ID, environment name, company ID, client ID and client secret in Aequo. Aequo sends them only to Microsoft’s sign-in and Business Central API hosts and stores them encrypted.
Is the Business Central connector generally available?
It is in early access. You can connect it yourself from Settings > Integrations in any Aequo workspace, and we are still verifying parts of it with customers, so start with a sandbox environment or a small batch of invoices.
Does Aequo post invoices in Business Central?
No. Approved invoices become draft purchase invoices with G/L account lines. Someone in Business Central reviews and posts them, so the ledger action stays in Business Central.
Can Aequo match invoices to Business Central purchase orders?
Yes. Purchase orders and their lines are imported every hour, and invoices captured in Aequo are matched to them line by line within your price and quantity tolerances. For 3-way matching, receipts are recorded in Aequo from delivery notes or entered there, because posted purchase receipts are not imported.
What can the app access in Business Central?
Microsoft’s API.ReadWrite.All permission lets the app call Business Central APIs, and the permission sets you assign on the Microsoft Entra Applications page limit what it can read and change. Aequo reads vendors, G/L accounts, purchase orders and purchase invoices, and creates vendors and draft purchase invoices.
How do I disconnect or revoke access?
In Aequo, open Manage on the Business Central card and select Disconnect: syncing and invoice writeback stop and history is kept. To cut access off in Microsoft as well, set the app to Disabled on the Microsoft Entra Applications page, delete its client secret, or delete the app registration.
Does it work with Business Central on-premises or Dynamics 365 Finance?
No. The connector supports Business Central online only. Dynamics 365 Finance and Business Central on-premises are not supported by this connector.
Can I connect more than one Business Central company?
One Aequo workspace connects to one Business Central company in one environment. Changing the company or environment is done with Update credentials.
Can I pay vendors from Aequo?
Not yet. Vendor payments in Aequo are coming soon. Approved invoices go to Business Central and you pay vendors there.
