Best AP Automation Software for QuickBooks Online (2026): Sourced Comparison and Setup
Written by the Aequo AP editorial team. Reviewed and updated October 22, 2026.
QuickBooks Online records bills; it does not capture, match or route them. This guide compares Aequo AP, BILL, Ramp, Melio, Stampli, Tipalti, Dext and Ottimate for QuickBooks Online teams using facts from each vendor's own pages, then shows how to set AP automation up.
The best AP automation software for QuickBooks Online depends on which part of payables you want to automate. If the work is upstream (reading invoices, matching them to purchase orders and receipts, routing approvals and clearing exceptions before a bill posts), compare Aequo AP and Stampli. If you want AP and vendor payments in one tool, compare BILL and Ramp. If you mainly need to pay vendors, Melio is simpler. Dext suits bookkeepers capturing receipts and bills, and Tipalti suits teams paying many or international suppliers. Every competitor fact below comes from that vendor's own website, checked on 2026-10-22.

How to read the table
- Count your approvers before comparing prices. BILL and Ramp Plus charge per user, so a 10-person approval chain on BILL Team is $650 a month. Aequo AP and Tipalti's base price do not rise with users.
- Check which plan includes matching. Three-way matching is often an upper-tier feature or an add-on. At BILL it is on Enterprise; at Ramp it needs the Procurement add-on; at Aequo AP it is on Growth.
- Separate payments from AP. Melio and Ramp's free plan are strongest at paying bills. They do not read and match invoices for you the way capture-and-matching tools do.

What QuickBooks Online Does and Does Not Do for AP
QuickBooks Online is the system of record for bills, vendors and purchase orders, not an invoice processing tool. It records a bill once someone has entered it and can pay it. The work before that is what AP automation takes on:
- Invoice capture. Someone has to read each PDF or email and key the vendor, invoice number, date, lines and totals.
- Matching. QuickBooks Online can link a bill to a purchase order, but it does not compare the invoice with the PO and the receiving record line by line against a tolerance. See three-way matching.
- Exceptions. Price variances, short shipments and missing receipts have no queue or owner, so they live in email. See invoice exception rate.
- Duplicate checks. QuickBooks warns on an exact duplicate bill number, which misses "INV-1001" versus "1001". See preventing duplicate payments.
- Approval routing. Routing by amount, department and vendor with reminders usually lives in the AP tool. See invoice approval routing.
These are outside QuickBooks Online's scope rather than flaws in it. The AP tool sends clean, approved bills to QuickBooks, and QuickBooks stays the ledger.
How to Set Up AP Automation with QuickBooks Online
- Connect QuickBooks Online. The connection uses Intuit's OAuth sign-in. You approve access to your company file; no export is needed.
- Sync vendors, accounts and purchase orders. The AP tool pulls your vendor list, chart of accounts, classes and open POs so invoices are coded to what already exists.
- Set matching rules. Choose 2-way (PO and invoice) or 3-way (PO, invoice and receipt) matching and set price and quantity tolerances, globally or per supplier.
- Set approval rules. Route by amount, department and vendor, and decide whether a PO-backed invoice that matches within tolerance can skip a second approval.
- Point invoices at the tool. Forward your AP mailbox or give suppliers a dedicated address. Upload paper invoices as scans.
- Post approved bills back. Approved bills are created in QuickBooks Online with the vendor, coding and reference, ready to pay in QuickBooks or your payment tool.
What It Is Worth
The value is the gap between your cost per invoice and what best-in-class teams pay. Ardent Partners' State of ePayables 2025 puts the average all-in cost to process an invoice at $9.84 and the best-in-class figure at $2.65, with processing times of 8.2 days on average and 2.9 days for the best-in-class group (Ardent Partners). Work out your own number with the cost per invoice guide and the AP automation ROI calculator.
Xero vs QuickBooks Online for AP Automation
Both QuickBooks Online and Xero have APIs that AP tools use to sync vendors, accounts and bills, so the AP layer works much the same on either. Choose the ledger for your general accounting needs (country, accountant, payroll and reporting) rather than for AP. QuickBooks Online is more common in the US; Xero is common in the UK, Australia and New Zealand. If you run Xero, the setup steps above are the same.
When to Move Beyond Bill Pay
Bill pay sends money; AP automation decides what should be paid. Bill pay tools schedule payments, send ACH and checks and produce remittance. AP automation captures and checks the invoice, matches it, routes it and clears exceptions before payment. If your problem is writing checks, a payments tool is enough. If it is data entry, PO matching in spreadsheets and approvals lost in email, you need AP automation, and many teams use both.
QuickBooks Online How-To Guides
- Class tracking for multi-location businesses: code every bill to the right branch and report profit by site.
- Entering and applying vendor credits: returns, core refunds and billing corrections without negative bills.
- Finding and preventing duplicate bills: the duplicate bill number warning, its blind spots, and the controls that close them.
- Month-end close for AP: cut-off, accruals and reconciling AP to the general ledger.
Frequently Asked Questions
What is the best AP automation software for QuickBooks Online?
It depends on what you need automated. For invoice capture, purchase order matching and exception handling before bills reach QuickBooks Online, look at Aequo AP (from $199/month with unlimited users) or Stampli (quoted pricing). For AP plus payments, BILL (from $49 per user per month; automatic QuickBooks Online sync starts on the $65 Team plan) and Ramp (a $0 plan with bill pay and approval workflows) are common choices. Melio fits teams that mainly need to pay vendors. Dext fits bookkeepers capturing receipts and bills. Tipalti fits teams paying many or international suppliers.
Can you automate accounts payable in QuickBooks Online?
Partly. QuickBooks Online stores bills, vendors and purchase orders and can pay bills, but it does not extract data from invoice PDFs, match invoices to purchase orders and receipts within tolerances, or manage an exception queue. Most teams add an AP automation tool that connects to QuickBooks Online and posts approved bills back to it.
Which QuickBooks AP tools do three-way matching?
On their own pricing and product pages (checked 2026-10-22): Aequo AP includes 3-way matching on its Growth plan ($699/month); Stampli advertises 2-way and 3-way matching at header and line level; BILL lists 3-way matching on Enterprise (custom pricing) and 2-way matching on Corporate; Ramp offers a three-way match with Ramp purchase orders through its Procurement add-on; Tipalti lists 2- and 3-way PO matching without saying which plan includes it. Melio and Dext do not mention PO matching.
How much does AP automation for QuickBooks Online cost?
Published starting prices range from free to a few hundred dollars a month: Ramp $0 per user, Melio $0 (Go) to $80 per month, Dext from about $25 per month for 250 documents, BILL $49 to $89 per user per month, Tipalti from $99 per month plus transaction fees, and Aequo AP $199 per month with unlimited users. Stampli and Ottimate do not publish prices. Per-user pricing gets expensive as more approvers join, so price your real number of users.
Is BILL or Aequo AP better for QuickBooks Online?
BILL is the better fit when payments are the main job and a few users approve bills, since it combines AP and payment execution. Aequo AP is the better fit when the work is upstream: extracting invoice data, matching it to purchase orders and receipts, and resolving exceptions before the bill is posted, with unlimited users on every plan.
Does AP automation work with QuickBooks Desktop?
Some tools support it, but most are built for QuickBooks Online. Stampli, for example, lists QuickBooks Desktop among its integrations. Aequo AP's live integrations are QuickBooks Online, Xero, FreshBooks and Zoho Books. If you run Desktop, confirm support and what syncs before you buy.
When is a QuickBooks Online team ready for AP automation?
Usually once invoice volume or approvers outgrow email. Ardent Partners' State of ePayables 2025 puts the average all-in cost to process an invoice at $9.84 and best-in-class teams at $2.65, so multiply your monthly invoice count by the gap to size the opportunity.
