How does NetSuite Bill Capture work?
Bill Capture reads a vendor bill file, proposes the bill’s values and links to NetSuite records, and leaves a person to confirm them before the vendor bill is created.
- 1
Enable it
An administrator enables Bill Capture and A/P under Accounting, File Cabinet, and the Custom Records and Client and Server SuiteScript features, and gives users the Scanned Vendor Bills, Bills and Documents and Files permissions. Emailing bills in uses the Transaction Email Capture SuiteApp. - 2
Send in the bill
Upload, or email, a PDF, JPEG or PNG. The file appears on the Scanned Vendor Bills page (Transactions > Payables > Scanned Vendor Bills). - 3
Extraction
Oracle says Bill Capture uses an Oracle Cloud Infrastructure Document Understanding custom generative model, which can read multi-column and free-text layouts. - 4
Suggestions
Values are matched to your vendors, items and purchase orders. Bill Capture matches existing POs that are pending billing, supports partial billing and supports bill in advance of receipt. - 5
Review and create
On the Review Scanned Bill page, a split view shows the file next to the draft. After review, you create the vendor bill and process it like any other. NetSuite learns from corrections. - 6
Downstream controls
3-way match, approval workflows and SuiteApprovals set up in your account apply to the new bill. Oracle notes these are not part of Bill Capture. A system note records that Bill Capture created the bill.
What are the limitations of NetSuite Bill Capture?
Oracle’s own considerations page lists the main limits: US-only availability, file formats and sizes, one bill per file, and restrictions on bills without a purchase order.
| Area | Limit |
|---|---|
| Availability | United States only |
| File types | PDF, JPEG, PNG |
| Pages | PDF up to 30 pages; JPEG and PNG 1 page |
| Bills per file | One bill per file; multiple bills in one file are not supported |
| Upload size | Up to 8 MB per file; upload at most 50 files at a time for best performance |
| Up to 20 attachments, each up to 8 MB, and 10 MB per email | |
| Bills without a PO | Serial/lot numbered items, bins, inventory status and mandatory line-level custom fields are not supported |
| Review page | Customization is not supported |
| Dates | Listed numeric and month-name formats only (for example “Sep” works, “Sept” does not) |
Two practical limits follow from how it works. Suggestions are only as good as your vendor, item and PO records, which Oracle itself points out. And the people who review bills need NetSuite access with the right permissions: users with Scanned Vendor Bills but not Bills permission can upload files but cannot create bills.
How much does NetSuite Bill Capture cost?
Oracle does not publish a price. NetSuite says Bill Capture is available as an add-on module and as part of NetSuite AP Automation.
NetSuite’s product page describes the licensing model rather than a price: an annual licence fee made up of the core platform, optional modules and the number of users, plus a one-time implementation fee. Bill Capture is one of the optional modules, or comes inside the NetSuite AP Automation bundle. Ask your NetSuite account manager or partner for the figure at your volume; we have not found an official list price and do not quote third-party estimates.
Is Bill Capture enough, or do you need an AP add-on?
If you are in the US, your approvers already work in NetSuite and most bills are matched to NetSuite POs, Bill Capture plus NetSuite’s own approval and 3-way match is a sensible place to start. An add-on earns its cost when your process reaches beyond that.
| Your situation | Bill Capture is likely enough | Consider an AP add-on |
|---|---|---|
| Location | US entities | Entities outside the US (Bill Capture is US-only) |
| Approvers | Approvers already work in NetSuite | Many occasional approvers you would rather keep out of NetSuite |
| Matching | Bills matched to NetSuite POs and item receipts | Mostly non-PO spend coded to GL accounts, where review and coding rules matter more |
| Systems | One NetSuite account | Several ledgers (for example NetSuite plus QuickBooks Online or Xero in subsidiaries) that need one AP process |
| Admin capacity | A NetSuite admin to configure workflows | No admin time to build and maintain approval workflows |
Be clear about what you would give up. An add-on adds another system, another sync to monitor and another subscription, and NetSuite’s own matching uses its purchase orders and item receipts directly.
Where Aequo fits for NetSuite teams
Aequo’s NetSuite connector is in early access and does not import purchase orders yet, so today it suits NetSuite teams whose invoices are mostly coded to GL accounts rather than matched to NetSuite POs.
In early access, vendors and the chart of accounts sync from NetSuite, invoices are captured by a forwarding inbox or upload, AI suggests GL codes against your NetSuite accounts, likely duplicates are flagged, approvals route by amount, vendor, GL code or department, and approved invoices are written to NetSuite as vendor bills with expense lines. Purchase orders and item receipts are not imported, item lines are not written, one OneWorld subsidiary is supported per connection, and vendor payments in Aequo are coming soon. If you need PO matching inside NetSuite, NetSuite’s own 3-way match with Bill Capture is the better fit today. See the NetSuite connector page for the full list. QuickBooks Online, Xero, FreshBooks and Zoho Books connectors are live for every customer.
Frequently asked questions
How does NetSuite Bill Capture work?
You email or upload a vendor bill as a PDF, JPEG or PNG. NetSuite extracts the key values with an Oracle Cloud Infrastructure generative model and lists the file on the Scanned Vendor Bills page. On the Review Scanned Bill page you check its suggestions, which are matched to your vendors, items and purchase orders, then create the vendor bill. Approval workflows and 3-way match already set up in NetSuite then apply as usual.
What are the limitations of NetSuite Bill Capture?
Oracle’s documentation says Bill Capture is available only in the United States; accepts PDF (up to 30 pages), JPEG and PNG (1 page) files of up to 8 MB with one bill per file; recommends uploading at most 50 files at a time; and limits emails to 20 attachments and 10 MB. Standalone bills without a PO do not support serial or lot numbered items, bins, inventory status or mandatory line-level custom fields, and the review page cannot be customized.
How much does NetSuite Bill Capture cost?
Oracle does not publish a price. NetSuite’s product page says Bill Capture is available as an add-on module and as part of NetSuite AP Automation, and that NetSuite is licensed annually from a core platform, optional modules and a number of users, plus a one-time implementation fee. Ask your NetSuite account manager for a quote.
Does NetSuite Bill Capture do 3-way matching?
Bill Capture suggests matches to purchase orders that are pending billing and supports partial billing and bill in advance of receipt. The 3-way match itself, and bill approval workflows, are separate NetSuite features that keep working on bills Bill Capture creates; Oracle notes they are not part of Bill Capture.
Does BILL integrate with NetSuite?
Yes. BILL’s pricing page lists automatic 2-way sync with Oracle NetSuite on its Enterprise plan, which is custom priced; its per-user Essentials, Team and Corporate plans sync with QuickBooks and Xero.
Is NetSuite Bill Capture available outside the US?
Oracle’s Bill Capture considerations page states that Bill Capture is available only in the United States. Teams outside the US need another capture route, such as an AP automation add-on.
Does Aequo work with NetSuite?
Aequo’s NetSuite connector is in early access for selected teams and is not generally available. It syncs vendors and GL accounts from NetSuite and writes approved invoices back as vendor bills with expense lines. It does not import NetSuite purchase orders or item receipts yet, so PO matching against NetSuite is not included.
Running NetSuite and want to test an AP layer?
Aequo’s NetSuite connector is in early access for selected teams: vendors and GL accounts sync from NetSuite and approved invoices are written back as vendor bills. It does not import purchase orders yet. Apply on the NetSuite integration page or book a call to check fit.
