Free duplicate bill checker

A duplicate bill checker compares every bill in an export and lists the ones that look like the same bill entered twice. Add one CSV per client company, exported from QuickBooks Online, Xero or any system that gives you vendor, invoice number, date and amount. Your clients’ data never leaves your browser: the files are read on your device, nothing is uploaded, and there is no email form. What you get back are likely duplicates to check, not confirmed double payments.

Check your files

Your clients’ data never leaves your browser. Files are read on this device. Nothing is uploaded, and there is no sign-up or email form.

What the checker looks for

Three patterns, each run separately on every client file: the same invoice number on one vendor, the same amount on one vendor within a date window, and the same invoice under two spellings of a vendor name.

Examples are from the sample data. Amounts carry no currency symbol because the checker does not know the file’s currency.
CheckWhat it flagsExampleConfidence
Same vendor, same invoice numberTwo bills on one vendor whose invoice numbers match once case, spaces, punctuation, leading zeros and labels such as INV or # are ignored.INV-001042 and 1042, both for 1,250.00High when the amounts match. Medium when they differ, because it may be a corrected or part-billed invoice.
Same vendor, same amount, close datesTwo bills on one vendor for exactly the same amount, dated within 30 days of each other (you can change the window), where the invoice numbers differ or one is missing.Invoice 7731 on Sep 15 and a bill with no number on Sep 16, both for 2,480.00Medium when a number is missing and the dates are within a week, or the numbers are one keystroke apart. Low when both bills have their own number, which is usually a recurring charge.
Same invoice under two vendor namesThe same invoice number and amount on two vendor names that reduce to one name once Inc, LLC, Ltd, Co and punctuation are removed.FDL-2210 for 3,115.75 on both Fenwick Dental Lab and Fenwick Dental Lab, Inc.High. It also tells you the vendor list has a duplicate record to merge.

Each bill is reported as a suspected duplicate at most once, so the possible duplicate value never counts a bill twice. The earlier bill in a pair is shown as the original. When a vendor credit for the same amount is in the file, the pair drops one confidence level and says so, because someone may already have corrected it.

Why these three: QuickBooks Online’s duplicate warning compares bill numbers on the same vendor and nothing else, so it misses a number typed with an extra prefix, a bill entered without a number, and a bill on a second vendor record. Our guide to duplicate bills in QuickBooks Online covers the warning and its blind spots.

How to get a file to check

Any report or list that shows one row per bill with the vendor, the invoice number, the bill date and the amount will work. Save it as CSV.

  • QuickBooks Online. Open Reports, find a report that lists bills by vendor (Transaction List by Vendor or Unpaid Bills), set the dates, and export it. Intuit’s help article describes the Export to Excel option; open the Excel file and save it as CSV. The checker skips the report title, the subtotal rows and the payments, and reads the vendor from the heading above each group.
  • Xero. Export the bills for the period to CSV. If the export has one row for each line of a bill, with the bill total repeated, the checker folds those rows into one bill.
  • Anything else. A CSV with a header row is enough. If the column names are unusual, the checker asks you to pick the vendor, number, date and amount columns yourself.

Export a period long enough to catch a resend. A bill entered in March and again in May will only pair up if both months are in the same file. Three to six months per client is a sensible start.

What it does with a messy export

Report exports are not clean tables. The checker reads around the parts that are not bills and tells you what it left out.

  • Title rows and footers. It finds the row of column names under a report title and ignores the timestamp line at the bottom.
  • Subtotals and totals. Rows such as “Total for” a vendor are skipped, so a subtotal is never mistaken for a bill.
  • Amounts. Currency symbols, thousands separators, quoted values, decimal commas and negatives in brackets are all read as numbers.
  • Payments and purchase orders. When the file has a transaction type column, bill payments, purchase orders, journal entries and transfers are left out.
  • Credits and negative rows. Vendor credits are never flagged. They are used to spot a duplicate that has already been reversed.
  • Voided bills. Rows with a voided or deleted status are left out.
  • US and UK dates. Month-first and day-first files are both read. If a file could be either, you are asked.

What to do with a likely duplicate

Confirm it against the source documents first, then fix the books, then fix the cause.

  1. Open both bills and compare the attached invoices. The same PDF twice is a duplicate. Two different invoices for the same amount are not.
  2. Check whether either was paid. The export does not say. Look at the bill payments on each.
  3. If neither or only one was paid, delete or void the extra bill so it cannot be picked up in the next payment run.
  4. If both were paid, ask the vendor for a refund or a credit and record it. See how to enter a vendor credit in QuickBooks Online and the recovery steps in preventing duplicate invoice payments.
  5. If the pair is on two vendor records, merge the records so the next bill lands on one vendor.
  6. Find the second way in. Most duplicates arrive twice: once by email and once through a portal, a forward or the post. One intake address removes the cause.

Aequo AP

Run this check on every bill as it arrives

This page checks last month’s bills after the fact. Aequo AP checks each bill before it reaches the books: it reads the bill, flags it when the same vendor already has a bill with the same invoice number and amount, or when the same file arrives twice, and holds it until a person clears the flag. Nothing posts to QuickBooks Online until someone approves it.

Aequo AP does not move money. Your clients keep paying from wherever they pay today. Accounting sync is live with QuickBooks Online, Xero, FreshBooks, Zoho Books and Microsoft Dynamics 365 Business Central. Unlimited users on every public plan, with no per-seat fee, so client approvers cost nothing extra.

Frequently asked questions

Is my clients’ data uploaded anywhere?

No. The files are read by your browser on your own device and compared there. Nothing in them is sent to Aequo or to anyone else, nothing is stored after you close the tab, and there is no email form or account. You can check this yourself: load the page, turn off your internet connection, and the checker still works.

Which files does the duplicate bill checker accept?

CSV files with a vendor, an invoice or bill number, a date and an amount. That covers a bills list or a Transaction List by Vendor report from QuickBooks Online, a bills export from Xero, and most exports from other accounting systems. If you have an Excel file, save it as CSV first. Tab and semicolon separated files work too.

How do I find duplicate bills in QuickBooks Online?

Run a Transaction List by Vendor or Unpaid Bills report for the period, export it, save it as CSV and drop it into the checker. It lists bills on the same vendor with the same invoice number, bills with the same amount on nearby dates, and the same invoice entered under two vendor records. QuickBooks Online’s own warning only fires when the bill number is identical on the same vendor, and only if the setting is switched on.

Does a flagged pair mean the bill was paid twice?

No. A flagged pair is a likely duplicate to check, not a confirmed double payment. The checker only sees what is in the file. It cannot tell whether either bill was paid, voided or already corrected with a credit. Open both bills in the accounting system and compare the attached invoices before you change anything.

Why was a monthly bill such as rent flagged?

Rent, subscriptions and retainers are the same amount from the same vendor every month, so they match the same-amount check when the dates fall inside the window. They are marked low confidence and their value is left out of the possible duplicate total. Shorten the window or hide low-confidence pairs to remove them.

What does the checker do with dates like 03/04/2026?

It works out the order from the file. If any date has a day above 12, the whole file is read that way. If every date could be month-first or day-first, the checker asks you instead of guessing, and does not check the file until you answer.

Can I check several clients at once?

Yes. Add one file per client company and name each one. Every file is checked on its own, so a bill for one client is never compared with a bill for another. The totals table shows the possible duplicate value for each client, and the CSV download has a client column.

What does it miss?

Duplicates that span two files, such as a bill entered in two periods you exported separately; bills entered once as a bill and once as an expense from the bank feed if the export only includes bills; and the same invoice entered with a different amount and a different number. It also cannot see vendors whose names differ by more than a legal suffix or punctuation.
