Which tool fits which team?
There is no single best tool; the right one depends on your size, your accounting system and which part of the job is slow.
By job
- You only need data out of documents, into your own system: Rossum or Nanonets.
- AI coding and approvals on a large ERP: Vic.ai, Medius or Stampli.
- Multi-location restaurants, clinics or grocery: Ottimate.
- Bookkeeping capture: Dext.
- AI capture plus PO matching on QuickBooks Online, Xero, FreshBooks, Zoho Books or Business Central: Aequo AP or Yooz.
Accuracy and automation claims, in each vendor’s own words
Every AI vendor publishes a headline number. These are the vendors’ own claims, measured their own way; we have not tested them, so ask for results on your invoices.
- Vic.ai: "99% invoice accuracy without coding or setup" and an 85% no-touch rate by month 6. [source: Vic.ai home page]
- Medius: 96.3% touchless processing for PO invoices and 99.5% for non-PO invoices. [source: Medius, why Medius]
- Rossum: "up to 100% touchless". [source: Rossum, accounts payable]
- Nanonets: 95% straight-through processing. [source: Nanonets, accounts payable]
- Stampli: its AI agent Billy performs on average 89% of the work. [source: Stampli home page]
- Dext: over 99% extraction accuracy. [source: Dext home page (US)]
Claims are not comparable with each other: some measure field accuracy, others the share of invoices no one touches.
Known limitations of each tool
Every tool here has gaps, Aequo AP included. Each limitation below comes from the vendor’s own pages, or from what those pages leave out.
- Vic.ai: No published price or self-serve trial, and QuickBooks and Xero are not named among its integrations [source: Vic.ai, ERP integrations]
- Ottimate: No published pricing, and its positioning centers on hospitality, healthcare and grocery [source: Ottimate home page]
- Rossum: Starter is capture only: duplicate detection and ERP integration start at the quote-only Business tier, and approvals and GL coding are add-ons [source: Rossum pricing]
- Nanonets: ERP integrations need the quote-only Growth plan, and per-invoice cost depends on how many blocks a workflow runs [source: Nanonets pricing]
- Stampli: No published prices or trial; buying runs through a quote request, and Xero is not on its ERP list [source: Stampli pricing]
- Yooz: No US price is published, and which edition includes PO matching and payments is not stated [source: Yooz pricing (US)]
- Medius: Quote only with no trial; AP Essentials covers one entity, and Copilot and the supplier portal are only in AP 360 [source: Medius pricing]
- Dext: A capture tool: its pricing page describes no purchase orders or matching, and extraction stops at the monthly document limit [source: Dext business pricing (US)]
- Aequo AP: Does not pay vendors yet (coming soon); Oracle NetSuite and Sage Intacct are early access only; no PO approvals or procurement; prices are in US dollars
What it costs: a worked example for 500 invoices a month and 5 people who approve them
Extraction platforms price by usage and charge extra for workflow and integrations; full AP suites are mostly quote only. Compare the cost of the whole workflow, not just extraction.
| Tool | Monthly cost at this volume |
|---|---|
| Vic.ai | Quote only [source: Vic.ai pricing link] |
| Ottimate | Quote only [source: Ottimate home page] |
| Rossum | From $1,500 a month ($18,000 a year for Starter, which is capture only) [source: Rossum pricing] |
| Nanonets | Not published as a monthly price: metered per block run, with ERP integrations on the quote-only Growth plan [source: Nanonets pricing] |
| Stampli | Quote only [source: Stampli pricing] |
| Yooz | Not published (priced by document volume) [source: Yooz pricing (US)] |
| Medius | Quote only [source: Medius pricing] |
| Dext | Not published at this volume: the listed $25.21 a month (billed annually) covers 250 documents and 5 users [source: Dext business pricing (US)] |
| Aequo AP | $699 a month on Growth (up to 1000 documents, 3-way matching), the same for 5 approvers or 50 |
When is Aequo AP not the right fit?
In these cases another tool on this page, or your accounting system on its own, is the better choice.
- You need extraction only, delivered by API into your own system. An extraction platform such as Rossum or Nanonets is the closer fit.
- You need a generally available connector for an ERP other than QuickBooks Online, Xero, FreshBooks, Zoho Books and Business Central. Oracle NetSuite and Sage Intacct are in early access for selected teams, and Acumatica, SAP Business One and QuickBooks Desktop are in development.
- You want one tool that also pays vendors today. Aequo AP vendor payments are coming soon; until then you pay approved bills from your accounting system or bank.
How we chose and compared these tools
We compared 9 tools for AI invoice processing using each vendor’s own public pages, read on 2026-10-30. Aequo AP publishes this page and includes its own product, so every limitation and price is shown the same way for every tool.
- Which tools. The tools that search results and AI assistants name most often for this question, plus the accounting system’s own features where they cover the job. Each has a public product page.
- What we compared. What the AI does, in the vendor’s own words: extraction, coding, matching, approvals, duplicate checks. Whether the tool is an extraction platform or a full AP workflow. Pricing model and published starting price. Which accounting systems the vendor names. One documented limitation per tool, and the monthly cost at 500 invoices and 5 approvers.
- Where facts come from. Each competitor fact links to the vendor’s own page ([source]). If a page did not say something, we write “not published” or “not mentioned” rather than guess. Prices are list prices.
- Disclosure. Aequo AP is our product. Its row comes from our pricing page and product, it is not ranked first, and its limitations are listed with everyone else’s. No vendor paid to be included or reviewed this page.
- Updates. We re-check every vendor page at least once a quarter and change the date when the content changes. Spot something out of date? Email support@nexusap.com and we will check it.

Frequently asked questions
What is the best AI invoice processing software?
For extraction alone, Rossum and Nanonets are document AI platforms with published entry prices; Vic.ai, Ottimate, Stampli, Yooz and Medius put AI inside a full AP workflow, and Dext uses it to capture bills for bookkeeping. Aequo AP uses AI to extract and code invoices, then matches them to purchase orders before approval.
What does AI do in invoice processing?
It reads invoices without templates (supplier, dates, line items, tax and totals), suggests GL coding from past invoices and your chart of accounts, matches lines to purchase orders, flags likely duplicates and unusual amounts, and in some tools suggests or routes approvers.
Is AI invoice processing accurate enough to skip review?
Vendors publish high figures, but they measure different things. Keep a person on exceptions, new vendors and anything that fails matching, and let clean, matched invoices flow through. Test on a sample of your own invoices first.
What is the difference between OCR and AI invoice processing?
Traditional OCR turns an image into text, often using a template per supplier. AI processing understands the layout without templates, pulls out line items and suggests coding and matches, so it copes with new suppliers and formats.
Which AI invoice tools publish prices?
Rossum (Starter from $18,000 a year), Nanonets (per block run, Starter $100 a month), Dext (from $25.21 a month billed annually) and Aequo AP (from $199 a month). Vic.ai, Ottimate, Stampli, Medius and Yooz in the US are quote only.
Automate matching, approvals and exception handling
Aequo AP captures invoices, matches them to purchase orders and receipts, routes approvals and flags duplicates and exceptions, then syncs with QuickBooks Online, Xero, FreshBooks, Zoho Books or Business Central.
