How to choose AP automation software for Business Central

Decide which part of AP is slow, then compare tools on what they write back, how they match, how they price and who pays the vendor.

  1. Name the bottleneck first. If people are typing bills, you need capture; if bills wait for sign-off, approvals; if invoices disagree with purchase orders and deliveries, matching and an exception queue. Capture tools, approval add-ons and full AP platforms solve different problems.
  2. Check what the tool writes into Business Central, and when: a posted bill, a draft for review, or a file you import. Ask how it avoids creating the same bill twice.
  3. Check where approvers sign off: inside Business Central, which means a Business Central user for each approver, or in the add-on’s own approval screen or portal.
  4. If you use purchase orders, check whether matching is line by line, whether receipts are included (3-way), and which plan it is on.
  5. Compare total cost at your real numbers. Per-user pricing grows with every approver; per-document and per-payment fees grow with volume; flat plans grow by tier.
  6. Test on your own invoices. A free trial or free plan lets you check extraction and matching before you commit.

When is Aequo AP a good fit for Business Central?

When invoices need capture, matching and approval before they reach Business Central, and several people are involved.

  • Approvers are outside Business Central and you do not want to license them; in Aequo AP they approve before the draft exists.
  • You want published pricing and a self-serve start rather than a partner-led project.
  • Invoices are coded to G/L accounts and matched to purchase orders, and you are happy to post the drafts yourself.

How the connector works, field by field: Aequo AP for Business Central.

When is Aequo AP not the right fit for Business Central?

In these cases another option above, or the accounting system on its own, is the better choice.

  • You need dimensions or item lines on the purchase invoice from day one, or posted purchase receipts pulled from Business Central for 3-way matching. Aequo AP does not do either yet.
  • You want a Business Central-only tool delivered and supported by your Business Central partner, which is how Continia is sold.
  • You want one tool that also pays vendors today. Aequo AP vendor payments are coming soon; until then you pay approved bills from your accounting system or bank.

Frequently asked questions

What is the best AP automation software for Business Central?

Continia Document Capture is built specifically for Business Central, and Stampli, Medius, Tipalti, BILL and Ramp each list a Business Central integration; Aequo AP connects too, with published pricing and draft purchase invoices it never posts. Start with Business Central’s own approval workflows and Payables Agent, which may cover simpler AP.

Does Business Central have built-in AP automation?

Partly. Business Central has purchase orders, receipts, purchase invoices and approval workflows as standard; OCR for incoming documents comes from external providers; and the Payables Agent drafts purchase invoices from emailed PDFs and proposes PO matches but does not support approval flows or post invoices (learn.microsoft.com, checked 2026-10-30).

What does Continia Document Capture do?

Continia says Document Capture captures invoices into Business Central, routes approval in Business Central or its web approval portal, archives documents, and matches invoices to purchase orders, receipts, return orders or shipments, with line-level matching in its Advanced Capture module (continia.com, checked 2026-10-30).

Does Aequo AP post invoices in Business Central?

No. Aequo AP creates approved invoices as draft purchase invoices with G/L account lines, after checking Business Central for the same vendor invoice number. You review and post them in Business Central.

Which Business Central AP tools pay vendors?

Tipalti, BILL, Ramp and Stampli all pay vendors. Medius sells payments as an add-on. Aequo AP does not pay vendors yet; you pay from Business Central as you do now.

Automate matching, approvals and exception handling

Aequo AP captures invoices, matches them to purchase orders and receipts, routes approvals and flags duplicates and exceptions, then syncs with QuickBooks Online, Xero, FreshBooks, Zoho Books or Business Central.
