Which tool fits which team?

There is no single best tool; the right one depends on your size, your accounting system and which part of the job is slow.

By situation

  • On QuickBooks Advanced with a simple chain: Bill Pay Elite approvals, included with Advanced.
  • Approvals are the only gap on Xero or QuickBooks Online: ApprovalMax.
  • Approve and pay in one place: BILL, Ramp or Melio.
  • Large ERP, mid-market volumes: Stampli, Rillion or Yooz.
  • PO-backed invoices and many approvers: Aequo AP, which matches invoices to purchase orders before they reach an approver.

Invoice approvals your accounting system already has

Check your accounting system first: QuickBooks Online, Zoho Books and Business Central all have bill approval workflows on some plans, and Xero controls approvals through user roles.

Known limitations of each tool

Every tool here has gaps, Aequo AP included. Each limitation below comes from the vendor’s own pages, or from what those pages leave out.

  • ApprovalMax: Works only with Xero, QuickBooks Online and NetSuite, and bill-to-PO matching needs the Advanced plan or higher [source: ApprovalMax integrations]
  • BILL: Priced per user: on Essentials and Team every approver is billed as a full user, and 3-way matching is only on the custom-priced Enterprise plan [source: BILL pricing]
  • Ramp: The Plus platform fee is not published, and Ramp-issued POs with 3-way match need the Procurement add-on [source: Ramp pricing]
  • Melio: A payments tool: no PO matching is mentioned, and the free Go plan is one user without custom approvals [source: Melio pricing]
  • Stampli: No published prices or trial; buying runs through a quote request, and Xero is not on its ERP list [source: Stampli pricing]
  • Rillion: Invoice capture and PO matching are add-ons even on the top tier, and payments are US only [source: Rillion pricing]
  • Tipalti: Per-invoice and per-payment fees are added to the $99 base, and their rates are not published [source: Tipalti pricing]
  • Yooz: No US price is published, and which edition includes PO matching and payments is not stated [source: Yooz pricing (US)]
  • Aequo AP: Does not pay vendors yet (coming soon); Oracle NetSuite and Sage Intacct are early access only; no PO approvals or procurement; prices are in US dollars

What it costs: a worked example for 500 invoices a month and 5 people who approve them

Approval tools differ most in whether approvers are paid seats. Per-user plans charge for every approver; per-organisation and flat plans do not.

Monthly subscription cost for 500 invoices a month and 5 people who approve them, from published prices
ToolMonthly cost at this volume
ApprovalMaxNot shown in the page text; priced per organisation, and PO matching needs Advanced or Premium [source: ApprovalMax for QuickBooks Online pricing]
BILL$325 a month on Team ($65 × 5 users), or $445 on Corporate for purchase orders ($89 × 5), plus payment fees such as $0.59 per ACH payment [source: BILL pricing]
Ramp$0 on Free; $75 a month on Plus ($15 × 5 users) plus a platform fee that is not published [source: Ramp pricing]
Melio$25 (Core), $55 (Boost) or $80 (Unlimited) a month, plus $10 per extra user on Core and Boost and ACH fees beyond the plan allowance [source: Melio pricing]
StampliQuote only [source: Stampli pricing]
RillionQuote only [source: Rillion pricing]
TipaltiFrom $99 a month, plus per-invoice and per-payment fees that are not published [source: Tipalti pricing]
YoozNot published (priced by document volume) [source: Yooz pricing (US)]
Aequo AP$699 a month on Growth (up to 1000 documents, 3-way matching), the same for 5 approvers or 50
List prices only, before discounts, taxes and implementation. “Quote only” and “not published” mean the vendor does not publish a price; ask for one at your volume. Payment fees apply only if you pay vendors through the tool.

When is Aequo AP not the right fit?

In these cases another tool on this page, or your accounting system on its own, is the better choice.

  • You enter a handful of bills a month and one person approves them. Your accounting system's own bill features are probably enough; Aequo AP's Starter plan covers up to 250 documents a month.
  • You want one tool that also pays vendors today. Aequo AP vendor payments are coming soon; until then you pay approved bills from your accounting system or bank.
  • You need a generally available connector for an ERP other than QuickBooks Online, Xero, FreshBooks, Zoho Books and Business Central. Oracle NetSuite and Sage Intacct are in early access for selected teams, and Acumatica, SAP Business One and QuickBooks Desktop are in development.

How we chose and compared these tools

We compared 9 tools for invoice approval using each vendor’s own public pages, read on 2026-10-30. Aequo AP publishes this page and includes its own product, so every limitation and price is shown the same way for every tool.

  1. Which tools. The tools that search results and AI assistants name most often for this question, plus the accounting system’s own features where they cover the job. Each has a public product page.
  2. What we compared. How approvals are routed (amount, vendor, department, GL code) and on which plan. Whether invoices are matched to purchase orders before approval. Pricing model, and whether approvers count as paid users. Which accounting systems the vendor names. One documented limitation per tool, and the monthly cost at 500 invoices and 5 approvers.
  3. Where facts come from. Each competitor fact links to the vendor’s own page ([source]). If a page did not say something, we write “not published” or “not mentioned” rather than guess. Prices are list prices.
  4. Disclosure. Aequo AP is our product. Its row comes from our pricing page and product, it is not ranked first, and its limitations are listed with everyone else’s. No vendor paid to be included or reviewed this page.
  5. Updates. We re-check every vendor page at least once a quarter and change the date when the content changes. Spot something out of date? Email support@nexusap.com and we will check it.

Frequently asked questions

What is the best invoice approval software?

ApprovalMax is the approval specialist for Xero, QuickBooks Online and NetSuite; BILL, Ramp and Melio pair approvals with bill pay, and Stampli, Rillion, Yooz and Tipalti add approvals to wider AP suites. Aequo AP routes invoices by amount, vendor, GL code or department after matching them to purchase orders, with unlimited approvers.

What should invoice approval software do?

Route each invoice to the right approver by amount, department, vendor or GL code; remind and escalate when approvals stall; allow delegation; record who approved what and when; and, ideally, check the invoice against the purchase order before anyone approves it.

Do approvers need a paid seat?

It depends on the vendor. BILL bills every user on Essentials and Team as a standard user, while ApprovalMax, Tipalti, Rillion and Aequo AP price without per-user charges for approvers (pages checked 2026-10-30).

Can invoices be approved from email or a phone?

Rillion lists batch, mobile and email approval on every tier. Aequo AP sends approval requests with reminders and escalation, and lets approvers delegate while away.

Should PO-backed invoices need approval?

Often not a second time: the purchase order was approved when it was raised. Many teams let an invoice that matches its PO within tolerance skip approval and send only non-PO invoices and mismatches to approvers.

Automate matching, approvals and exception handling

Aequo AP captures invoices, matches them to purchase orders and receipts, routes approvals and flags duplicates and exceptions, then syncs with QuickBooks Online, Xero, FreshBooks, Zoho Books or Business Central.
