Aging Report

An accounts payable aging report lists unpaid supplier invoices grouped by how long they are outstanding, usually current, 1–30, 31–60, 61–90 and over 90 days past due, so AP can see what to pay first.

Last updated

An AP aging report groups unpaid bills by how overdue they are, typically current, 1–30, 31–60, 61–90 and over 90 days. Reviewing it weekly shows which suppliers are at risk of being paid late and which old balances may be duplicates, unapplied credits or disputes.

Definition

The AP aging report is a standard accounting report that shows every open bill by vendor and age bucket, with totals for each bucket. It helps the team schedule payments, spot late bills before suppliers chase them, find disputed or forgotten invoices, and reconcile the AP subledger to the general ledger at month end. Accounting systems such as QuickBooks Online (A/P Aging) and Xero (Aged Payables) produce one as standard.

Why It Matters

Aging reports reveal payment performance at a glance. A growing 90+ day bucket signals process problems, disputes, or cash flow issues that need attention before vendor relationships deteriorate.

Examples

Reading the report

Vendor A shows $8,000 current and $2,500 in the 31–60 day bucket. The $2,500 is past due, so AP checks whether it is disputed, waiting for approval or simply missed.

Month-end check

The aging report totals $412,300 but the AP control account in the general ledger shows $415,100. The $2,800 difference points to a bill posted to the wrong account or a manual journal that needs investigating.

How Aequo AP Helps

Aequo AP syncs approved bills to QuickBooks Online, Xero, FreshBooks or Zoho Books, where the standard AP aging report stays accurate. Inside Aequo AP, the exception aging report shows how long invoices have been stuck in review, which is often why bills turn up late on the aging.

Frequently Asked Questions

What is an accounts payable aging report?

An accounts payable aging report lists unpaid supplier invoices grouped by how long they are outstanding, usually current, 1–30, 31–60, 61–90 and over 90 days past due, so AP can see what to pay first.

What are the aging buckets?

Most reports use current (not yet due), 1–30, 31–60, 61–90 and over 90 days past due. Some count from the invoice date instead of the due date, so check the report setting.

How often should you review the AP aging report?

Weekly for payment planning, and at every month end to reconcile it to the AP balance in the general ledger.

What is the difference between AP aging and AR aging?

AP aging shows what you owe suppliers. AR aging shows what customers owe you. Both use the same age buckets.
