Invoice exception rate benchmark: 2026 data

How many supplier invoices need a person to resolve a mismatch or missing data, what top teams achieve, and the related payment-accuracy benchmarks.

The average invoice exception rate is 19.9%: nearly one supplier invoice in five needs a person to resolve it, and only 38.3% are processed straight through (Ardent Partners, 2026). In Ardent's 2025 benchmark tables (204 AP professionals) the average was 18.4%, with Best-in-Class teams at 11.1% and all others at 20.9%. The Best-in-Class group links 84.0% of invoices to a purchase order against 47.3% for others. In Ardent's State of AP 2026 survey of 194 AP and finance leaders, 48% name high exception rates as a top challenge, tied with slow approvals. Downstream, APQC finds top performers make 98% of disbursements error-free the first time against 88% for bottom performers. We found no public dataset that splits exceptions by cause, so this report does not quantify causes.

An invoice exception is any invoice that cannot be approved for payment without a person stepping in: a price or quantity that does not match the purchase order, a missing PO or receipt, a duplicate, missing data or a vendor that cannot be identified. The exception rate is the share of invoices that hit one. It is the benchmark that explains most of the others, because every exception adds handling time, approval delay and supplier calls. This report sets out the published rates and the related payment-accuracy measures, all from public pages.

Key findings: invoice exception rates

The average invoice exception rate is 19.9% (Ardent Partners, 2026): nearly one invoice in five.

2

Best-in-Class AP teams keep exceptions to 11.1%, against 20.9% for everyone else (Ardent, 2025).

3

Best-in-Class teams link 84.0% of invoices to a PO, against 47.3% for others.

4

48% of AP leaders call high exception rates a top challenge in 2026, tied with slow approvals.

Bottom performers get 12 in 100 payments wrong the first time; top performers get 2 wrong (APQC).

6

No public dataset we could verify measures exceptions by cause.

The Best-in-Class exception rate is 47% lower. The same group links far more invoices to a PO and receives more of them electronically.

Common causes of invoice exceptions

We found no public dataset that measures how often each cause occurs, so this list carries no percentages. It is the checklist to use when you analyse your own exception queue.

CauseWhat it looks likeUsual fix
Price varianceInvoice unit price differs from the PO price beyond toleranceBuyer confirms a price change and updates the PO, or asks for a credit note
Quantity varianceMore units billed than ordered or receivedRecord the late delivery, or ask the supplier to reissue for the quantity received
Missing or wrong PO numberThe invoice cannot be linked to an orderAsk the requester for the PO, or route as a non-PO invoice for approval
Missing receipt or delivery noteGoods billed before receipt is recordedChase the receiver; hold until the delivery is confirmed
Duplicate invoiceSame vendor, number or amount as an invoice already entered or paidReject the duplicate and tell the supplier
Vendor data mismatchUnknown vendor, changed bank details or missing tax IDVerify through a known contact before setting up or paying

Methodology

Exception-rate figures come from Ardent Partners: its 2026 benchmark post on Payables Place (19.9% average, 38.3% straight-through), its State of AP 2026 series (194 AP, P2P and finance leaders; 48% citing high exception rates), and the full State of ePayables 2025 report (204 AP professionals; Best-in-Class is the 20% of enterprises with the lowest cost and shortest cycle time). Payment-accuracy figures come from APQC's Open Standards Benchmarking as published in its Metric of the Month column on CFO.com. We define the invoice exception rate as invoices that needed manual exception handling divided by invoices processed in the same period. IOFM publishes exception research to members only, so it is not cited. We found no public, checkable source that breaks exceptions down by cause, so the causes section is descriptive and carries no percentages. No Aequo platform data is used. Frequently Asked Questions

What is a good invoice exception rate?

Ardent Partners’ Best-in-Class AP teams run at 11.1%, against an 18.4% to 19.9% average. Below about 11% puts you with the top fifth of AP teams in Ardent’s data.

What is the average invoice exception rate?

Ardent Partners puts it at 19.9% in its 2026 benchmarks, so nearly one in five invoices needs manual handling. The 2025 edition reported 18.4%.

How do you calculate the invoice exception rate?

Divide the number of invoices that needed manual exception handling in a period by the number of invoices processed in the same period, and multiply by 100. Count an invoice once even if it hit more than one exception.

What causes most invoice exceptions?

Price and quantity variances against the purchase order, missing POs or receipts, duplicates and vendor data problems are the usual causes. We found no public dataset that measures their shares, so analyse your own queue by cause before choosing what to fix first.

How do you reduce invoice exceptions?

The Best-in-Class profile points to three levers: link more invoices to purchase orders (84.0% vs 47.3%), get more suppliers to invoice electronically (67.2% vs 47.3%), and set match tolerances so small rounding differences do not reach a person.
