What does it cost to process an invoice? 2026 benchmarks
The all-in cost of processing one supplier invoice, from the two benchmark programmes that publish it: Ardent Partners and APQC. Every figure links to a public page that contains it.
Processing one supplier invoice costs $9.90 on average and takes 11.6 days, according to Ardent Partners' 2026 AP benchmarks. Ardent's fuller 2025 tables (204 AP professionals) put Best-in-Class teams at $2.65 per invoice against $12.42 for everyone else. APQC's cross-industry data from 1,485 organizations gives a median of $5.83, with the top quartile at $2.07 or less and the bottom quartile at $10 or more; APQC industry medians run from $1.14 in distribution and transportation to $9.43 in the public sector. The difference between the two programmes is mostly definition and sample: both include labour, systems and overhead, but Ardent's 2025 sample is 54% companies with revenue above $1 billion. No public source we could verify splits cost per invoice by company size.

Cost per invoice is the all-in cost of running accounts payable divided by the number of invoices processed: staff time, software, outsourcing and overhead, including the time spent on exceptions. It is the most quoted AP benchmark and the most misquoted, because the published figures come from different programmes with different samples and years. This report lists the figures that are publicly checkable, says where each comes from, and explains why they differ. To calculate your own number, use the cost per invoice calculator linked below.
Key findings: what it costs to process an invoice
Processing one invoice costs $9.90 on average and takes 11.6 days (Ardent Partners, 2026).
Best-in-Class AP teams spend $2.65 per invoice; everyone else averages $12.42 (Ardent, 2025).
APQC’s median is $5.83, with the top quartile at $2.07 or less and the bottom quartile at $10 or more (1,485 organizations).
Industry medians run from $1.14 (distribution and transportation) to $9.43 (public sector) in APQC data.
Top-quartile AP teams process more than three times as many invoices per FTE as the bottom quartile.
No public source we could verify reports cost per invoice by company size, so we do not estimate one.
Average cost per invoice
Two programmes publish an all-in figure. Their averages differ because their samples and years differ.

What drives the cost
Cycle time and exceptions are the two measured drivers that move cost per invoice.
Invoice receipt to payment scheduled, top performers
Top-performing organizations receive, enter and approve an invoice for payment in 2.8 days or less; bottom performers take a week or longer.

Invoices needing manual exception handling
Nearly one invoice in five needs a person to resolve an exception, and only 38.3% flow straight through. Ardent calls exceptions the biggest single reason the cost benchmarks are not lower.

Methodology
We used only benchmark figures that appear on a public page we fetched on 23 October 2026, and we cite that page for each figure. Ardent Partners figures come from its 2026 AP benchmark post on Payables Place (average cost, cycle time) and the full State of ePayables 2025 report (204 AP professionals; 54% of respondents at companies with revenue above $1 billion, 26% at $250 million to $1 billion, 20% below $250 million; Best-in-Class is the 20% of enterprises with the lowest cost and shortest cycle time). APQC figures come from APQC's Open Standards Benchmarking as published in its Metric of the Month column on CFO.com: total cost to process accounts payable (labour, systems, outsourcing, overhead and other process costs) divided by invoices processed, from 1,485 organizations, published in 2018. APQC's current measure data is member-only, so we do not publish newer APQC figures we cannot link to. IOFM and Levvel publish AP cost research behind memberships or no longer host it publicly, so neither is cited. No public source we found reports cost per invoice by company size or a clean manual-versus-automated split, so this report does not estimate either. No Aequo platform data is used.

Frequently Asked Questions
What is the average cost to process an invoice?
Ardent Partners' 2026 benchmark puts the average at $9.90 per invoice, with an average processing time of 11.6 days. Its 2025 edition reported $9.84. APQC's cross-industry median is lower, at $5.83, because its sample and definition differ.
What is a good cost per invoice?
Top performers process an invoice for roughly $2 to $3: $2.65 for Ardent’s Best-in-Class group and $2.07 or less for APQC’s top quartile. Above $10 puts you in APQC’s bottom quartile.
How do you calculate cost per invoice?
Add up the full cost of the AP process for a period (staff time including benefits, software, outsourcing and an overhead share) and divide by the number of invoices processed in the same period. APQC defines it the same way: total cost to process AP divided by invoices processed.
Why do cost per invoice benchmarks differ so much?
They measure different samples in different years. Ardent’s 2025 survey is weighted to large companies (54% above $1 billion revenue) and reports averages; APQC reports medians and quartiles from 1,485 organizations. Averages are pulled up by the most expensive operations, so they sit above medians.
Is there a benchmark for cost per invoice by company size?
Not one we could verify publicly. Ardent publishes its sample mix by revenue but not cost by size, and APQC’s size splits are member-only. We do not estimate a figure.
How much does automation reduce the cost per invoice?
The best evidence is the measured gap between maturity groups rather than a vendor projection: Ardent’s Best-in-Class teams, which lean most on automation and e-invoicing, process invoices at a cost 79% lower than all others. Your own saving depends on your starting cost and exception rate.
