How to make an invoice

Add your details and the customer's, give the invoice a unique number and a due date, list what you are billing for, then save it as a PDF and send it.

  1. Enter your business details. Add your business name, address and the email or phone customers should use for billing questions.
  2. Add the customer. Enter who you are billing. For a business customer, address it to accounts payable and include their PO number if they gave you one.
  3. Set the number, dates and terms. Use the next number in your sequence, the invoice date, and payment terms. The due date updates from the terms.
  4. Add line items. One line per product or service, with a quantity and unit price. Add a discount, tax rate or shipping if they apply.
  5. Print or save as PDF. Select "Print / Save as PDF" and choose "Save as PDF" as the destination to download the invoice, then send it to the customer.

How to get an invoice paid faster

Most invoice delays at the customer's end come from missing information that their AP team needs to approve and match the bill.

  • Quote the customer’s purchase order number. Teams that use three-way matching hold invoices that do not reference a PO.
  • Send the invoice to the AP address the customer gave you, not only to your contact on the project.
  • Make line descriptions and quantities match the PO and what was delivered, so the invoice matches without an exception.
  • State the due date as a date, not only as terms, and include clear payment instructions.
  • Never reissue an invoice under a new number. Send a copy marked “copy” with the original number to avoid a duplicate payment.

Aequo AP

Receiving invoices, not sending them?

Aequo AP captures the invoices your vendors send, extracts the header and line items with 99.7% accuracy, matches them to purchase orders and receipts, and flags duplicates before anything is paid. It syncs with QuickBooks Online, Xero, FreshBooks and Zoho Books.

Frequently asked questions

Is this invoice generator really free?

Yes. There is no sign-up, no watermark and no limit on how many invoices you create. The generator runs in your browser and nothing you type is uploaded or stored.

How do I download the invoice as a PDF?

Select "Print / Save as PDF", then choose "Save as PDF" (or "Microsoft Print to PDF" on Windows) as the printer. Only the invoice is printed; the form and the rest of the page are left out.

What should an invoice include?

Your business name and contact details, the customer's name and address, a unique invoice number, the invoice date, payment terms and due date, a description, quantity and price for each line, any tax, the total amount due, and how to pay. Add the customer's PO number when they issued one, because many AP teams cannot approve an invoice without it.

How should I number my invoices?

Use a unique, sequential number for every invoice, for example INV-1001, INV-1002. Never reuse a number. A consistent prefix makes your invoices easy to find, and unique numbers help your customer's AP team avoid paying the same invoice twice.

Will my information be saved?

No. The generator keeps your entries only while the page is open. Save a PDF of every invoice you send, or keep a copy of the Excel invoice template if you want an editable file.

Can I add sales tax or VAT?

Yes. Enter a tax rate and the generator applies it to the subtotal after any discount. Check which tax rules apply to your sales; this tool does not calculate tax rates for you.
