How to fill out an invoice template

Add your details and the customer's, give the invoice a unique number and due date, list each item, and send it as a PDF.

  1. Download the template. Download the Excel file (it also opens in Google Sheets and Numbers) or the CSV, or print the blank invoice below.
  2. Add your details. Replace the bracketed text with your business name and contact details, and the customer's name and billing address.
  3. Number and date it. Give the invoice a unique number, the invoice date, payment terms and the due date.
  4. List what you are billing. Enter a description, quantity and unit price on each line. Amounts, subtotal, tax and the total calculate automatically.
  5. Save as PDF and send. Save or export the finished invoice as a PDF and email it to the customer's accounts payable contact.

What to include on an invoice

An invoice needs enough detail for the customer's AP team to match it, approve it and pay the right party on time.

FieldWhy it matters
Unique invoice numberLets both sides reference the invoice and helps the customer catch duplicates.
Invoice date and due dateStarts the payment-terms clock; a stated due date avoids arguments about terms.
Customer PO numberTeams that match invoices to purchase orders often cannot approve one without it.
Itemized linesQuantities and unit prices are what get compared with the PO and the delivery.
Tax, shipping and totalShows how the amount due was reached.
Payment instructionsTells the customer how to pay you, and who to contact with questions.

Billing a construction job? Progress billing, retainage and change orders need extra lines; use the construction invoice template or the subcontractor invoice template.

Frequently asked questions

How do I make an invoice from this template?

Download the Excel or CSV file, replace the bracketed placeholders with your details and the customer's, add a unique invoice number, the date and the due date, then fill in the line items. The amount column, subtotal, tax and total are formulas. Save it as a PDF to send.

Does the template work in Google Sheets?

Yes. In Google Sheets choose File, Import and upload the XLSX or CSV file. The formulas carry over. We do not offer a "make a copy" Sheets link, so importing the file is the way to use it in Sheets.

What should be on an invoice?

Your business name and contact details, the customer's name and billing address, a unique invoice number, the invoice date, payment terms and due date, an itemized list with quantities and prices, any tax, the total due, and payment instructions. Include the customer's PO number when they issued one.

Is there a Word version?

Not at the moment. Use the Excel file, which calculates totals for you, or print the blank invoice on this page. If you want to fill an invoice in on screen and save a PDF, the free invoice generator does that without any download.

What is the difference between an invoice and a receipt?

An invoice asks for payment and shows what is owed and when. A receipt confirms that payment has been received. Send the invoice first; issue a receipt once the customer pays if they ask for one.
