Basware alternatives in 2026

For large organizations, the closest Basware alternatives are Coupa and Medius, which also sell AP automation by quote and connect to SAP, Oracle and Microsoft Dynamics; Stampli and AvidXchange are other quote-based AP suites. Aequo AP is a lighter option for SMB and mid-market teams that want published pricing and a 14-day trial, but it is not an e-invoicing network. Aequo AP is our product; every other vendor’s row below comes from that vendor’s own pages.

Which alternative fits which team?

There is no single best choice; each tool is built for a different job.

  • Coupa: For enterprises that want AP inside a wider business spend management suite.
  • Medius: For finance teams that want a quote-based AP suite on SAP, Oracle, Microsoft Dynamics or NetSuite.
  • Stampli: For mid-sized AP teams that want invoice-level collaboration on one of its 70+ ERPs.
  • AvidXchange: For middle-market companies that want AP and supplier payments from one provider.
  • Aequo AP: For SMB and mid-market teams on QuickBooks Online, Xero, FreshBooks, Zoho Books and Business Central that want PO matching and approvals without a sales cycle.

When is Basware the better choice?

Stay with Basware, or choose it, if one of these describes you.

  • You must send and receive e-invoices across many countries: Basware runs an e-Invoicing Network and lists 190+ countries covered. [source: Basware home page]
  • You run SAP, Oracle or several ERPs at once: Basware says it has integrated with over 250 ERP systems and is a certified SAP partner. [source: Basware, ERP integrations]
  • You want e-procurement and AP from one vendor: Basware sells e-Procurement and Basware Marketplace alongside AP automation. [source: Basware home page]

Known limitations of each tool

Every tool here has gaps, Aequo AP included. Each limitation below comes from the vendor’s own pages, or from what those pages leave out.

  • Basware: No published pricing or trial, and its ERP page does not name QuickBooks, Xero or Business Central [source: Basware, ERP integrations]
  • Coupa: No public pricing or trial, and integration is set up by Coupa’s integration team as a project [source: Coupa, AP automation]
  • Medius: Quote only with no trial; AP Essentials covers one entity, and Copilot and the supplier portal are only in AP 360 [source: Medius pricing]
  • Stampli: No published prices or trial; buying runs through a quote request, and Xero is not on its ERP list [source: Stampli pricing]
  • AvidXchange: Pricing is not published, and Xero is not among the integrations it names [source: AvidXchange integrations]
  • Aequo AP: Does not pay vendors yet (coming soon); Oracle NetSuite and Sage Intacct are early access only; no PO approvals or procurement; prices are in US dollars

When is Aequo AP not the right fit?

Aequo AP is AP automation for SMB and mid-market teams: capture, PO matching, approvals and exceptions. It is the wrong choice in these cases.

  • You must send and receive e-invoices over an e-invoicing network to meet country mandates. Aequo AP reads invoices that are emailed to it or uploaded; it does not run an e-invoicing network.
  • You want a vendor-led implementation with a dedicated services team and supplier portal. Aequo AP is self-serve, with a setup call if you want one.
  • You need a generally available connector for an ERP other than QuickBooks Online, Xero, FreshBooks, Zoho Books and Business Central. Oracle NetSuite and Sage Intacct are in early access for selected teams, and Acumatica, SAP Business One and QuickBooks Desktop are in development.

How we chose and compared these tools

We compared 6 tools for teams replacing or comparing Basware using each vendor’s own public pages, read on 2026-10-30 and 2026-11-02. Aequo AP publishes this page and includes its own product, so every limitation and price is shown the same way for every tool.

  1. Which tools. The tools that search results and AI assistants name most often for this question, plus the accounting system’s own features where they cover the job. Each has a public product page.
  2. What we compared. Why teams look for Basware alternatives, from Basware’s own pricing and product pages. Pricing model, free trial, purchase-order matching, accounting system coverage and target company size for each alternative. One documented limitation per tool, and the monthly cost at 500 invoices and 5 approvers.
  3. Where facts come from. Each competitor fact links to the vendor’s own page ([source]). If a page did not say something, we write “not published” or “not mentioned” rather than guess. Prices are list prices.
  4. Disclosure. Aequo AP is our product. Its row comes from our pricing page and product, it is not ranked first, and its limitations are listed with everyone else’s. No vendor paid to be included or reviewed this page.
  5. Updates. We re-check every vendor page at least once a quarter and change the date when the content changes. Spot something out of date? Email support@nexusap.com and we will check it.

Frequently asked questions

What are the best Basware alternatives?

For large organizations, the closest Basware alternatives are Coupa and Medius, which also sell AP automation by quote and connect to SAP, Oracle and Microsoft Dynamics; Stampli and AvidXchange are other quote-based AP suites. Aequo AP is a lighter option for SMB and mid-market teams that want published pricing and a 14-day trial, but it is not an e-invoicing network.

How much does Basware cost?

Basware does not publish prices. Its pricing page describes "a simple and predictable model tailored to your organization’s needs and requirements" and asks you to contact its team (basware.com/en/pricing).

Does Basware work with QuickBooks Online or Business Central?

Basware says it has integrated with over 250 ERP systems, but its ERP integrations page names only SAP, Oracle and Microsoft and does not mention QuickBooks, Xero or Business Central. Ask Basware about your system. Aequo AP connects to QuickBooks Online, Xero, FreshBooks, Zoho Books and Business Central.

Is Basware only for enterprises?

Basware’s pricing page mentions both "streamlined midmarket solutions" and offerings "designed for large global corporations with intricate requirements", and its home page says it is trusted by 6,500+ CFOs worldwide. Its e-invoicing and multi-ERP features matter most to larger organizations.

Does Basware do three-way matching?

Basware sells an Invoice Matching product, and its invoice-matching guide describes 2-way, 3-way and 4-way matching; it does not publish which package includes which. Aequo AP includes 2-way matching on every plan and 3-way matching from Growth.

Automate matching, approvals and exception handling

Aequo AP captures invoices, matches them to purchase orders and receipts, routes approvals and flags duplicates and exceptions, then syncs with QuickBooks Online, Xero, FreshBooks, Zoho Books or Business Central.
