The best AP automation software for QuickBooks Online

Well-known AP tools whose own pages did not list QuickBooks Online when we checked:

• Medius names SAP, Oracle, Microsoft Dynamics, NetSuite, Infor and Sage, not QuickBooks Online. [source: Medius, why Medius]

• A purchase order can be added to a bill, with partial quantities; QuickBooks closes the PO when all quantities are billed. No receiving record or automatic price and quantity check is described. [source: Intuit, Add purchase orders to bills in QuickBooks Online]
• Bill Pay Elite customers can add a bill approval workflow, with up to 5 layers of approval. [source: QuickBooks help, bill approval workflows]

• Aequo AP: Does not pay vendors yet (coming soon); Oracle NetSuite and Sage Intacct are early access only; no PO approvals or procurement; prices are in US dollars

1. Check your QuickBooks plan first: purchase orders need Plus or Advanced, and bill approval workflows need Bill Pay Elite, which Advanced includes.
2. Name the bottleneck first. If people are typing bills, you need capture; if bills wait for sign-off, approvals; if invoices disagree with purchase orders and deliveries, matching and an exception queue. Capture tools, approval add-ons and full AP platforms solve different problems.
3. Check what the tool writes into QuickBooks Online, and when: a posted bill, a draft for review, or a file you import. Ask how it avoids creating the same bill twice.
4. If you use purchase orders, check whether matching is line by line, whether receipts are included (3-way), and which plan it is on.
5. Compare total cost at your real numbers. Per-user pricing grows with every approver; per-document and per-payment fees grow with volume; flat plans grow by tier.
6. Decide where vendors get paid. Some tools move money for you; others leave payment in QuickBooks Online or your bank.
7. Test on your own invoices. A free trial or free plan lets you check extraction and matching before you commit.

• You raise purchase orders in QuickBooks Plus or Advanced and want each invoice line matched to the PO and the delivery note before the bill exists.
• Several people approve bills and you want routing by amount, vendor or department without paying per approver.
• You want duplicates and variances held in a queue with an owner and a reason. Aequo AP's Growth plan ($699 a month) adds 3-way matching; Starter ($199 a month) includes 2-way matching. Every plan has unlimited users.

• You are on QuickBooks Advanced, one or two people approve, and you rarely use POs. Bill Pay Elite approvals, included with Advanced, are probably enough.
• You mainly need to pay vendors cheaply. A payments tool such as Melio or Ramp fits better.
• You want one tool that also pays vendors today. Aequo AP vendor payments are coming soon; until then you pay approved bills from your accounting system or bank.
