Which tool fits which team?
There is no single best tool; the right one depends on your size, your accounting system and which part of the job is slow.
By situation
- Under about 20 bills a month, one approver: Your accounting system on its own (see below).
- Paying vendors is the main job: Melio or Ramp, both with free plans.
- Approvals are the gap on Xero or QuickBooks Online: ApprovalMax.
- An accountant or bookkeeper does the books: Dext or Hubdoc.
- Purchase orders, deliveries and several approvers: Aequo AP (Starter for 2-way matching, Growth for 3-way).
When your accounting system is enough
Many small businesses do not need an AP tool yet. QuickBooks Online and Xero both capture bills and pay them; add software when approvals, purchase orders or volume make that manual.
- QuickBooks Bill Pay is included; Premium is $15 a month and Elite, which adds bill approval workflows, is $45 a month. [source: Intuit, QuickBooks Bill Pay]
- Xero’s Smart Document Capture creates draft bills from uploaded or forwarded bills on every US plan. [source: Xero US pricing plans]
- Zoho Books includes purchase approvals from its Professional plan. [source: Zoho Books US pricing]
Signs you have outgrown it: bills wait in someone’s inbox for approval, the same invoice gets entered twice, or invoices are paid without being checked against what was ordered and delivered.
Known limitations of each tool
Every tool here has gaps, Aequo AP included. Each limitation below comes from the vendor’s own pages, or from what those pages leave out.
- Melio: A payments tool: no PO matching is mentioned, and the free Go plan is one user without custom approvals [source: Melio pricing]
- Ramp: The Plus platform fee is not published, and Ramp-issued POs with 3-way match need the Procurement add-on [source: Ramp pricing]
- BILL: Priced per user: on Essentials and Team every approver is billed as a full user, and 3-way matching is only on the custom-priced Enterprise plan [source: BILL pricing]
- ApprovalMax: Works only with Xero, QuickBooks Online and NetSuite, and bill-to-PO matching needs the Advanced plan or higher [source: ApprovalMax integrations]
- Dext: A capture tool: its pricing page describes no purchase orders or matching, and extraction stops at the monthly document limit [source: Dext business pricing (US)]
- Hubdoc: Syncs only to Xero and QuickBooks Online, and its pages describe no approvals, purchase orders or matching [source: Hubdoc pricing]
- Yooz: No US price is published, and which edition includes PO matching and payments is not stated [source: Yooz pricing (US)]
- Aequo AP: Does not pay vendors yet (coming soon); Oracle NetSuite and Sage Intacct are early access only; no PO approvals or procurement; prices are in US dollars
What it costs: a worked example for 500 invoices a month and 5 people who approve them
At small-business volumes, free payment plans and capture tools cost least; per-user plans climb with every approver, and a flat plan only pays off once matching and several approvers are involved.
| Tool | Monthly cost at this volume |
|---|---|
| Melio | $25 (Core), $55 (Boost) or $80 (Unlimited) a month, plus $10 per extra user on Core and Boost and ACH fees beyond the plan allowance [source: Melio pricing] |
| Ramp | $0 on Free; $75 a month on Plus ($15 × 5 users) plus a platform fee that is not published [source: Ramp pricing] |
| BILL | $325 a month on Team ($65 × 5 users), or $445 on Corporate for purchase orders ($89 × 5), plus payment fees such as $0.59 per ACH payment [source: BILL pricing] |
| ApprovalMax | Not shown in the page text; priced per organisation, and PO matching needs Advanced or Premium [source: ApprovalMax for QuickBooks Online pricing] |
| Dext | Not published at this volume: the listed $25.21 a month (billed annually) covers 250 documents and 5 users [source: Dext business pricing (US)] |
| Hubdoc | $12 a month on its own (capture only) [source: Hubdoc pricing] |
| Yooz | Not published (priced by document volume) [source: Yooz pricing (US)] |
| Aequo AP | $699 a month on Growth (up to 1000 documents, 3-way matching), the same for 5 approvers or 50 |
When is Aequo AP not the right fit?
In these cases another tool on this page, or your accounting system on its own, is the better choice.
- You enter a handful of bills a month and one person approves them. Your accounting system's own bill features are probably enough; Aequo AP's Starter plan covers up to 250 documents a month.
- You want one tool that also pays vendors today. Aequo AP vendor payments are coming soon; until then you pay approved bills from your accounting system or bank.
- You only need receipts and bills captured into your books. Dedicated capture tools cost a fraction of Aequo AP's $199-a-month Starter plan.
How we chose and compared these tools
We compared 8 tools for small businesses using each vendor’s own public pages, read on 2026-10-30. Aequo AP publishes this page and includes its own product, so every limitation and price is shown the same way for every tool.
- Which tools. The tools that search results and AI assistants name most often for this question, plus the accounting system’s own features where they cover the job. Each has a public product page.
- What we compared. Pricing model and published starting price. Whether a free trial or free plan exists. Purchase-order matching: two-way or three-way, and on which plan. Which accounting systems and ERPs the vendor names. Who the vendor says the product is for. One documented limitation per tool, and the monthly cost at 500 invoices and 5 approvers.
- Where facts come from. Each competitor fact links to the vendor’s own page ([source]). If a page did not say something, we write “not published” or “not mentioned” rather than guess. Prices are list prices.
- Disclosure. Aequo AP is our product. Its row comes from our pricing page and product, it is not ranked first, and its limitations are listed with everyone else’s. No vendor paid to be included or reviewed this page.
- Updates. We re-check every vendor page at least once a quarter and change the date when the content changes. Spot something out of date? Email support@nexusap.com and we will check it.

Frequently asked questions
What is the best accounts payable software for small business?
For a small business that mainly pays bills, Melio and Ramp have free plans and BILL adds approvals at a per-user price; Dext and Hubdoc capture bills cheaply, and ApprovalMax adds approvals to Xero or QuickBooks Online. Aequo AP fits small teams that need invoices matched to purchase orders, with unlimited users from $199 a month.
What is the cheapest accounts payable software for a small business?
Ramp and Melio have free plans (Melio Go is one user), Hubdoc is $12 a month or included with Xero, and Dext starts at $25.21 a month billed annually. These cover payments or capture, not purchase-order matching.
Do small businesses need AP automation?
Not always. If one person enters and approves a few bills a month, QuickBooks Online or Xero on their own are usually enough. AP automation pays off when several people approve, you use purchase orders, or volume makes keying and checking bills slow.
What is the difference between AP automation and bill pay?
Bill pay moves the money: it schedules payments, sends ACH and checks and records them. AP automation decides what should be paid: it captures each invoice, matches it to the purchase order and receipt, routes approvals and clears exceptions before payment. Many teams use both.
Which small business AP software works with QuickBooks Online?
Melio, Ramp, BILL, ApprovalMax, Dext, Hubdoc, Yooz and Aequo AP all name QuickBooks Online or QuickBooks among their integrations on the pages we checked (2026-10-30).
Automate matching, approvals and exception handling
Aequo AP captures invoices, matches them to purchase orders and receipts, routes approvals and flags duplicates and exceptions, then syncs with QuickBooks Online, Xero, FreshBooks, Zoho Books or Business Central.
