Procore QuickBooks integration options compared

There are five ways to connect Procore and QuickBooks: Procore’s own QuickBooks Online connector, Procore’s QuickBooks Desktop connector, third-party marketplace connectors, Zapier-style automation, and manual export. Procore’s QuickBooks Online connector sends subcontractor invoices to QuickBooks as bills but does not sync commitments, prime contracts or budgets — the gap most teams are trying to fill.
Facts from Procore, Intuit, Zapier and each connector vendor’s own pages, checked 2026-10-21.

Procore–QuickBooks integration options at a glance

Procore’s own connectors cover subcontractor invoices, vendors and projects; partner connectors and middleware exist mainly to fill gaps such as commitments, payments and retention detail.

Procore’s QuickBooks Online connector in detail

It is the default choice for Procore customers on QuickBooks Online Plus or Advanced who want subcontractor invoices, direct costs and vendors to flow into QuickBooks without a third party.

  • Editions: QuickBooks Online Plus, Advanced and Intuit Enterprise Suite. Simple Start and Essentials are not supported because they lack Projects.
  • Subcontractor invoices go to QuickBooks as vendor bills, and bill payments come back (US).
  • Owner invoices go to QuickBooks as customer invoices, with retainage held or released as a summary line.
  • Not synced: prime contracts and their change orders, owner invoice payments, budgets, commitments (subcontracts and purchase orders), timecards and timesheets.
  • Controls: sending a record to QuickBooks requires a user with the accounting approver role; job costs sync once a day.
  • Payments: Procore notes that exporting payment records to QuickBooks Online requires a Procore Pay license.

Which Procore–QuickBooks integration should you use?

Start with Procore’s own connector if you are on a supported QuickBooks edition; add a partner connector only for a specific gap; and decide separately where invoice approval and lien-waiver controls live.

  1. On QuickBooks Online Simple Start or Essentials? Procore’s connector will not work — upgrade QuickBooks or use a partner/middleware option.
  2. Need committed cost in QuickBooks Online? Procore’s QBO connector does not sync commitments; evaluate a partner connector or report committed cost from Procore.
  3. Subs not billing in Procore? An integration moves records, it does not approve them. See who processes subcontractor invoices.

Frequently asked questions

Does Procore integrate with QuickBooks Online?

Yes. Procore offers its own QuickBooks Online connector for QuickBooks Online Plus, Advanced and Intuit Enterprise Suite (not Simple Start or Essentials). It syncs projects, vendors, cost codes as service items, direct costs and subcontractor invoices as bills, and owner invoices as customer invoices. It does not sync commitments, prime contracts, budgets or timecards.

Does Procore integrate with QuickBooks Desktop?

Yes. Procore’s QuickBooks Desktop connector runs through the QuickBooks Web Connector for Desktop 2022–2024 (US and Canada). It maps cost codes to items, projects to jobs, companies to vendors, budgets to estimates, commitments to purchase orders and subcontractor invoices to bills.

Can I connect Procore and QuickBooks with Zapier?

Zapier lists Procore and QuickBooks Online triggers and actions — for example a new Procore subcontract or vendor, and creating QuickBooks bills or vendors — so you can build your own Zaps. It is not a packaged two-way sync; you design and maintain the field mapping.

Why doesn’t the Procore QuickBooks Online connector sync commitments?

Procore’s documentation lists commitments (subcontracts and purchase orders) among the records the QuickBooks Online connector does not sync. Teams that need committed cost in QuickBooks Online use a marketplace connector, middleware, or keep committed cost reporting in Procore.

Is there an Aequo Build Procore integration?

Not yet. A Procore integration for Aequo Build is in development and not available today. Aequo Build’s live accounting integration is QuickBooks Online.

Run subcontractor invoices, pay apps and retainage in one place

Aequo Build is construction accounts payable for contractors on QuickBooks Online: invoice capture, approvals, lien-waiver payment holds, invoice-linked retainage and an AIA-style billing register.
