How to use this pay application template
Fill in the header, list your schedule of values on the continuation sheet, enter this period’s progress, and let the column totals drive the summary.
- 1
Step 1
Print the template or save it as a PDF, or download the CSV continuation sheet and open it in Excel or Google Sheets. - 2
Step 2
Fill in the header: owner, project, contractor, application number, period end date and contract date. - 3
Step 3
List each schedule-of-values line with its scheduled value; add approved change orders as separate lines. - 4
Step 4
Enter previous applications, work this period and stored materials per line; the CSV calculates totals, percent complete, balance to finish and retainage. - 5
Step 5
Carry the column totals to the summary, subtract previous payments and sign the contractor’s certification.
The CSV is pre-filled with the nine lines from our worked example. Overwrite them with your own schedule of values, then copy the sheet each period: this period’s columns D + E become next period’s column D.
When a spreadsheet pay application stops working
Spreadsheets break when you run many jobs, retainage steps down, change orders arrive mid-period, or subcontractor pay apps have to roll up into the owner billing.
Aequo Build’s AIA billing register creates each pay application from the job’s schedule of values, carries prior certificates forward, adds approved change orders, applies the job’s retainage schedule and produces a G702/G703-style PDF. On the payables side, subcontractor invoices are matched, approved, held for lien waivers and posted to QuickBooks Online with retainage tracked against the invoice that created it. Compare options in AIA billing software.
Frequently asked questions
Is this the official AIA G702/G703 form?
No. This is a free pay application template with a G702/G703-style layout written by Aequo AP. It is not an AIA Contract Document. If your contract requires the official AIA G702 and G703, purchase them from AIA Contract Documents.
Can I use this pay application template in Excel?
Yes. Download the CSV continuation sheet and open it in Excel, Google Sheets or Numbers. The formulas for total completed and stored, percent complete, balance to finish and retainage are included; change the 10% retainage rate to match your contract.
When can I use a non-AIA pay application?
Use your own pay application when the contract, owner or general contractor does not require a specific form. Many owners and GCs accept any application that shows the same schedule-of-values columns and summary, backed by lien waivers and stored-material documentation.
Does a pay application need to be notarized?
Only if your contract or state requires it. The AIA G702 includes a notary block, and many owners ask for notarized applications, but notarization is a contract requirement, not a property of the form.
